JOB DESCRIPTION:

General and operational tasks

  • Handling and processing of group and meeting requests (MICE requests starting at 7 hotel rooms) from national and international private or corporate customers for the Polish-speaking source market
  • Handling and processing of all group booking or meeting requests submitted either online (via internet, online booking tools) or offline (fax, phone, email)
  • Consulting of clients with regards to the scope and specification of their respective booking request in a friendly and service oriented manner
  • Assuring customer satisfaction and solution development
  • Compliance with defined HRS standards, processes and service level agreements
  • Independent and responsible monitoring of all processes and requests
  • Independent complaint management
  • Promoting and increasing brand awareness of HRS with each and every customer contact
  • Representing HRS on local MICE trade shows, exhibitions and workshops
  • Reporting to local Director of Corporate Sales as well as Headquarter MICE discipline supervisor

Supportive tasks in the area of Corporate Solutions

  • Assist local corporate sales team with regards to MICE requests of corporate clients
  • Assistance in preparing and working out RFIs/RFPs of Polish corporate clients with regards to MICE questions and possible solutions
  • Advise corporate clients on appropriate booking processes (online vs. offline), software tools or general consultancy on MICE topics
  • MICE key account support for major corporate clients (visits, personal appointments, etc.)
  • Consolidation and analysis of relevant booking data; providing dedicated reports and statistics to corporate clients

Supportive tasks in the area of Hotel Solutions

  • Building up detailed knowledge regarding local MICE hotel market; building up supplier networking expertise
  • Interface for all MICE requests with respect to the Polish hotel market (regardless if originating inside or outside Poland); major contact person for all MICE colleagues in Cologne
  • Internal consultancy about local hotel market
  • Carry on negotiations with local hotel partners to guarantee best available prices and conditions
  • Training and support of local hotel partners regarding utilization and functionality of HRS online MICE booking tools
  • Assure hotel response to MICE requests within the time line of HRS service level commitments

REQUIREMENTS:

  • Fluent spoken/written language skills in English, native in Polish, German an advantage
  • Min. 3 years experience within MICE commercial structures
  • Strong performance track record, preferred experience in managing complex regional teams
  • Knowledge of the business travel and MICE industry
  • Flexibility and willingness to travel
  • Pro-teamwork attitude
  • Customer-oriented skillset
