Administration Specialist

We are looking for a reliable Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support. The ideal candidate will be competent in prioritizing and working with little supervision to be self-motivated and trustworthy.

 

Tasks:

  • Manage all front office daily operations
  • Keep stock of office supplies, manage the suppliers and place orders when necessary
  • Being the main point of contact for office building administration and maintenance units to make sure all office-space related issues like e.g. repairs, cleaning, etc. are performed when it’s needed and the high level of services is maintained
  • Developing induction plans for new employees together with L&D team member
  • Calendars and conference rooms’ booking system management
  • Handling Correspondence
  • Handling and registering expenses
  • Updating the organizational chart and other documents when necessary
  • Actively contribute to the content creation for social media as a member of the social media team
  • Drafting informative emails about organizational updates including PL-EN translations
  • Perform other administrative duties
  • Manage agendas/travel arrangements/appointments etc. for the upper management
  • Assist colleagues whenever necessary

Requirements:

  • Ability to perform all aspects of the front office operations
  • Outstanding communication and interpersonal abilities
  • Attention to detail
  • Service-oriented attitude
  • Excellent organizational skills
  • Proficiency in Microsoft Office
  • Ability to prioritize and meet the deadline in a fast-paced international environment
  • Advanced level of English
