    WE ARE LOOKING FOR A NEW COLLEAGUE:
    Administrative Assistant
    The Administration Team is the first point of contact for external and internal customers and guests reaching Thomson Reuters office in Gdynia.
    Providing wide range of professional administrative services and support to teams based in Gdynia centre, enabling their operations to run smoothly, enhancing the efficiency of the business.
    This includes ensuring standardized office space usability for all employees according to H&S requirements in cooperation with Facilities Management and IT departments.
    Cooperation with site support teams including Human Resources, Learning, Communication Specialist, Security and Health & Safety, addressing the site development.
    Travel organization assistance, onsite and offsite events, conferences and meetings coordination.
    Invoices & T&E expenses reconciliation.  Office supplies orders.
    Time is of the essence here to ensure that orders and queries are acted upon within designated timeframes.
    The job involves a 4-month contract (1st September - 31st December 2018).

     

    YOUR DAILY DUTIES:

    • Greeting visitors
    • Receiving and screening calls
    • Receiving, distributing and sending post, courier coordination
    • Providing support to staff members
    • Point of contact for internal and external clients
    • Preparation and supporting functions at the site (events, conferences, etc.)
    • Making orders: office/kitchen supplies
    • Machine/printers/photocopiers maintenance and ordering
    • Invoices and expenses reconciliation
    • Accountancy documentation preparation
    • Booking travel
    • Managing Distribution Lists

    WHAT DO YOU NEED TO BRING?

    • Very good knowledge of English
    • Ability to prioritize own work and work independently
    • Flexibility and reliability around unpredictable time constraints and schedule changes
    • Exhibiting accuracy and attention to detail
    • Ability to multi-task and adapt to changing priorities
    • Knowledge of Excel
    • Team player skills
    • High level communication skills and customer service
    • Positive and energetic personality
