Administrative Assistant In Human Resources Sector

We are looking for people for the position of Administrative Assistant In Human Resources Sector (3 vacancies). Below responsibilities will be divided into three people during recruitment process:

Job description:

  • to ensure administrative support in administrative procedures,
  • to co-ordinate the document flow and assist in archiving,
  • to draft notes, letters, reports and follow up
  • taking part in pre-boarding activities for newly recruited staff members- collection and archiving of documents, inviting new colleagues to individual meetings;
  • handling correspondence with the new staff members of the agency with regards to personnel administration matters;
  • verification of documents sent by new staff members;
  • assisting during individual meetings with new staff members and more senior members of personnel administration team (drafting  minutes) and follow up on the discussed matters;
  • introducing information to financial system, preparatory work for payments;
  • support in preparations to the  induction training for the new staff members (including support and organisational arrangements related to online sessions and support for the organisation of the in-class part of the induction);
  • assistance in logistics during  inductions training sessions;
  • assistance in organization of the enrolment and other administrative and logistical arrangements for the autumn 2020 semester of language in-house courses;
  • support in processing language courses requests made by the staff members;
  • support in maintenance of electronic databases related to the above-mentioned processes;
  • support in preparation of statistics and reports regarding the processes handled by Learning and Development Team.
  • Invite candidates for interviews/tests and/or pre-employment medical evaluation.
  • Communicate with candidates and respond to requests and/or provide clarifications.
  • Communicate with panel members and schedule meetings related with the recruitment procedures.
  • Ensure proper documentation in the recruitment files, filing and archiving.
  • Create and maintain electronic files and documents including uploading documentation in the recruitment tool.
  • Support the reimbursement procedure for candidates invited for interview/tests or pre-employment medical evaluation.
  • Receive and welcome candidates at Frontex HQ for interviews and tests.
  • Provide administrative support by drafting documents, letters and emails.
  • Analyse data and prepare reports (as and if required).
  • Respect personal data and confidentiality of information and documentation.
  • Maintain high quality service by following Frontex policies and procedures and recruitment guidelines.

Essential requirements: 

  • university degree in the field of business administration, finance or economics;
  • at least 1 years of work-experience in administrative and Human Resources;
  • very good skills in the main MS Office software (Excel, Word, Outlook);
  • very good command of both spoken and written English (At least B2 );
  • strong sense of accuracy and attention to detail;
  • high responsibility and ability to take initiative;
  • high level of service orientation;
  • ability to communicate efficiently at all levels internally and externally and in appropriate manner;
  • ability to work in a team.

 We offer:

  • net remuneration per working day  52 Euro,
