Your responsibilities

The SHaPE Practice is driven by the mission to measurably improve individuals’ lives, livelihoods, and health and create safer and more just communities around the world. You will work closely with our SHaPE Europe and SHaPE global healthcare practice management team, including our SHaPE Europe and global healthcare practice manager, as well as the broader practice ecosystem including colleagues from communications, risk management, finance, and client development colleagues to help deliver this mission.

You will be responsible for executing a range of tasks to support the management of the Practice and specifically our Europe and global healthcare operations.

You will work closely with the SHaPE Europe and global healthcare practice manager as well as with our practice team in managing and executing a range of operations tasks aimed at helping the practice deliver its strategy and run effectively.

Your primary responsibilities will include some (though not all) of financial operations, internal communication, and meeting organization, with details to be tailored to your background and interest, and current practice needs.

To support our practice operations, you will help keep track and manage the performance of our practice, to help ensure that all practice functions and regions are achieving our goals and meeting deadlines and flagging to the team when certain initiatives are not on track. Your work will include organizing management calls (e.g., logistics and agenda management), preparing monthly management performance dashboards, keeping track of our external advisors and approval processes, and help organizing internal events among other tasks.

You will also work with the practice team to create and maintain updated materials for client development, including practice qualifications packs. You will update the case studies database and collect impact stories.

Responsibilities are expected to evolve over time and may vary from the exact description above based on the Practice’s needs and aspirations and the practice administrator’s skills, capabilities, and development objectives.

Our requirements

  • University degree preferred, strong academic record
  • 2+ years of administrative experience, preferably in a related function
  • Basic knowledge of general business concepts
  • Ability to work collaboratively in a team environment
  • Ability to communicate effectively - both verbally and in writing
  • Excellent customer service orientation
  • Ability to work on multiple projects at one time, including superior organizational skills, a strong sense of ownership and the ability to prioritize and manage deadlines, tolerate ambiguity, and collaborate with diverse stakeholders
  • Ability to work effectively in Microsoft Word, Power Point, and Excel
