Your responsibilities
Provides administrative support to Supply Chain General Manager Ops Upstream & Delivery Center Krakow (SBO KRW). Key role contributing in building Contracting & Procurement (CP) Ops Krakow community through providing organizational and logistic support for CP Ops events, engagements and high importance meetings including support in organizing senior guests/leaders visits and delivery of training agenda for CP Ops community in SBO KRW.
Dimensions
Internal communication:
Supports internal CP Ops SBO KRW communication strategy with organizational and logistic matters
Owns all CP Ops SBO KRW communication channels and manages them (distribution list, SharePoints, Webcasts/Townhalls);
Act as CP Ops communication Focal Point within SBO Internal Communication Network – attending regular meetings, ensuring key SBO events are embedded in CP Ops SBO KRW calendar
Collects and distributes business information to enhance business knowledge and increase identification with Shell and CP organization;
Supports communication on key CP Ops SBO KRW initiatives, go-lives and other achievements, townhalls/engagements and SBO internal related topics: Shell People Survey, Safety Day, D&I festival, SBO Career day etc.
Actively participates and contributes in communication networks within CP Ops and SBO KRW
Organization:
Supports the organization and planning of: CP townhalls/webcasts, staff engagements (e.g. GM coffee talks), events (e.g. CP Away Day, Pearls of Wisdom, Leaders Forums), guests visits, trainings (e.g. f2f/virtual onboarding sessions for new joiners, Advanced Contracting Training, other trainings) with logistics (room booking, agenda, participation list)
Liaises with SBO team with regards to any events, changes, facilities needs from CP and SBO and ensures that this is communicated timeously to CP Ops XLT Krakow.
Assistant to SC GM Ops Upstream & Delivery Center Krakow in booking travel arrangements, organizing logistics around executives visits / meetings.

Our requirements
Working knowledge of MS Office (high level command of Power Point, Excel, Word, Outlook, MS Teams).
Strong interpersonal skills: communication and persuasion, outgoing, willing to work with people.
Highly collaborative and pro-active attitude.
Good organizational skills, time management, responsibility, stress – resistance.
High capacity for diverse and variable tasks – ability to work independently, prioritize tasks.
Ready to learn and adapt to fast-growing and changing business environment. Personal leadership skills in promoting customer focus and teamwork spirit while collaborating with CP Ops, CP in the Business and other SBO teams.
Stakeholder engagement skills, detail oriented with focus on deliver high quality of work.
Mature and balanced while supporting CP Ops Krakow Leadership Team and hosting senior guests and leaders.
Additional marketing/communications and/or HR and/or journalist education will be an asset.
