    Job Description

    Job Purpose:

    To organise Contracted Customer training programmes for the “Fuels & Lubricants Technical Training Course” the “Operational Excellence Training Course” and the “Advanced Operational Excellence Training Course”.
     
    PRINCIPAL ACCOUNTABILITIES:

    The GRA Senior Analyst key accountabilities include the following:
    • Direct responsibility for the management and organisation of customer training programme, including contract negotiations, event management, invoice payments and budgetary control.
    • Responsible for managing all on-site logistics and reactive delegate-related issues during the courses.
    • Hotel reservations, rooming lists, meeting room requirements, AudioVideo equipment, menus, welcome dinner and photographer.
    • Outside dinner reservations and payments.
    • Preparation of Invitation and Registration documents.
    • Preparation of training course materials (binders, review books, syndicate exercises, delegate lists, name badges), co-ordinate with the printers on deadlines and ensure the material is ready for courier to each country.
    • Delegate visa applications including invitation letters and confirmation of letters/hotel confirmations to embassies.
    • Preparation and delivery of joining instructions.
    • Preparation of security documents for site visit(s).
    • Responsible for ensuring all material is up-to-date and loaded onto SharePoint.
    • Produce post-event evaluation to inform future events.

    Requirements:

    • University degree
    • English min. C1
    • Negotiating skills and Contract management.
    • Excellent communication skills both written/oral.
    • Strong interpersonal skills, interfacing at all levels with internal and external stakeholders/ customers.
    • Excellent organisational skills, including time management and the capability to multi-task.
    • High level of awareness and the ability to deal with problems at short notice.
    • Pro-active in suggesting programme improvements.
    • Flexibility and reactivity to rapidly changing, urgent landscape of demands.
    • Excellent administrative and IT skills.
