Your responsibilities

  • IRF (Internal Request Forms) management for selected Healthcare Professionals’ interactions, events and activities. Keep close relation and communication with key stakeholders of the IRF process

  • Supports cross country and cross divisional selected IRFs ensuring end to management of the events as per defined process

  • Responsible for PO and invoice handling including Vendor and TPIs management

  • May perform other administrative activities as assigned and required like: travel-and expenses co-ordination according to the company's guidelines & policies, scheduling, coordinating meetings/appointments, updating business-related files, routine documents creation, coordinating logistics of the marketing materials.

  • Database maintenance

  • Internal & External Audit support.

  • Reference contact person for selected countries' sales & Mkt teams and local PCO (Country MedTech Orgs, Preferred Vendors and conference organizers). Involve obtain/provide information, answer queries related to established policies and procedures. Direct people to the appropriate resource.

  • Support to New Service Requests, collaborate on EMEA and central or country related projects/assignments of broader scope, aligned and agreed with BSM & BSD (New Service Request process to be followed when needed).

  • As part of a team, provide support and collaborate with Business Support team members when needed.

  • Develops documents and administers procedures. Provides guidance to and may train others on those procedures.

  • Propose and implement process enhancements

  • Preferred development: Subject Matter Expert (SME) & Lean Business Process (LBP).

  • Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner.

  • All roles within the Business Support team will follow the hybrid scheme as part of the Connected Work Place policy

  • Awareness and compliance with applicable standard operating procedures to meet, comply and champion all quality, regulatory and compliance commitments of Boston Scientific.

Our requirements

  • None-3 years of previous experience in similar role preferable, in a medical devices Company, will be valued.

  • Experience in a similar role in Shared Services/BPO or in administrative department is preferred

  • Local (assigned country) Language and fluent English, written and spoken, will be needed.

  • Highly organized (prioritize and time management), high attention to detail, accurate, problem-solving, customer service focus, oriented to results, good communication and interpersonal skills will be considered main general skills. Process-orientation and process improvement mindset

  • Advanced level in use of Microsoft Office (Outlook, PowerPoint, Word, Excel) & digital tools will be valued. Meeting and event, planning & organization, experience will be a plus. Confidentiality

  • Stays up to date in area of expertise and demonstrates use of that knowledge to successfully achieve goals and objectives.

  • Identifies internal/external customer needs and ensures the effective delivery of high-quality solutions, products, and services that meet or exceed customer expectations.
