Your responsibilities

For a major client of the company, take charge of the administrative and accounting treatment of invoices by resolving malfunctions and optimizing procedures and information circuits in order to ensure the exhaustive treatment of provisions and optimize the cost of administrative and accounting management within the company.

Administrative management of damage

Placed under the authority of the Freight Audit & Pay & Claims Manager, he or she:

• Pilot the administrative management of damage with internal and external stakeholders

• Manage the financial management of damage in order to ensure the completeness of sales and their equivalence with purchases

• Set up processes and identify actions to optimize them in collaboration with the concerned departments

• Develop, implement and bring to life the IT damage management tool

• Manage a team of damage processors both internally and in subcontracting parties

• Intervene in support of the activities of internal / external interlocutors in Europe

• Support the claim invoicing team in case of major litigation and organize related meeting with carrier or NSCs if requested

Monitoring the Damages process

• Ensure proper administrative handling of damage files in compliance with agreements with prime contractors as well as the questioning of responsible third parties in compliance with applicable transport regulations.

• Ensure the completeness of each processed file

• Monitor the disputes, Transactions and mediation litigation

• Manage the invoicing of all the opened files to the right parties

• Ensure the proper issuance of repair orders and re-invoicing to responsible third parties

• Calculate the financial elements for sales and purchases and follow the clearance of these

• Ensure the cash recovery for all the damages invoices issued

• Pilot the balance of the damages accounts within the purchasing & re-invoicing to maintain the Group objective.

• Manage the implementation of the IT tool in the division

• Act as a link between the team and the management

• Demonstrate versatility and be proactive in supporting the strategy established by the group's management

Expected results

• Establishment of a "damage committee" to harmonize damage management across the countries and to challenge the subcontractors.

• Establishment of damage cost reporting for all the division entities

• Implementation of the damage management tool and harmonize the calculation of damage provisions across the countries.

• Minimize the amount of the Group's damage account

Our requirements

• 5 to 10 years of professional experience

• Scope and responsibilities: National & International

• Very good expertise in the Transport & Logistics activity

• Perfect fluency in English – spoken and understood

• Hierarchical or functional management (staff under his responsibility): around ten people

• Management of customer relationship and / or external supplier relationship

• Implement the change

• Comfortable with office tools (Proficiency in Excel) and IT systems
