We are currently looking for the candidate for the position of
HR Administration and Payroll Senior Specialist

About the Role

We are looking for an experienced HR administration and payroll specialist reporting to HR Director Central Eastern Europe, Baltics and Balkans. This person will cooperate closely with local payroll service provider (ADP), local Finance Team in regards to structure cost accounting, support implementation of C&B programmes and tools to drive performance and employee engagement as well as ensure HR documentation is in line with labour law. This specialist will be a professional source of information on payroll and labour law and support foreigners employment in Poland.

Key Accountabilities:

  • Ensure local C&B standards and processes are delivered in line with Bacardi policies and local legislation
  • Close cooperation with external payroll service provider (ADP) - co-ordination and administration of monthly payroll submissions
  • Full ownership of Employee Costs budget
  • Maintain Workday system and conduct regular audits to assure data accuracy
  • Ownership of total HR documentation and reporting required by law/Region
  • Responsibility for foreigners employment in the Polish organization and relocations outside Poland
  • Point of contact for Employees and regional C&B on payroll or local labour law related matters 
  • Manage providers to ensure added value to the company ( Pension Fund, Medicover, MyBenefit, Unum, Mercer)
  • Support Cluster HR Director with employee related processes (reporting, C&B cycles, presentations, projects)
  • Educate Employees on C&B matters ( Bacardi standards, cycles, manager responsibilities, bonus calculations, understanding payroll data etc)

Measures of Success

  • Payroll submissions are on time and correct
  • Systems and reports are a reliable source of correct data
  • Ensure budget delivery and correctness
  • Employees renumeration is in line with Bacardi standards
  • 100% accuracy between Payroll and HR Workday system
  • Employee documentation is correct and in line with legal requirements
  • Employee related C&B cycles and projects are delivered within timelines
  • Employees are clear about existing C&B policies
  • Medicover, My Benefit, Pension Fund, Unum and Mercer cooperation is effective and invoices correct

Critical Experience and Requirements

  • Minimum 3 years experience with HR admin/payroll in an international company
  • Experience in using HR/Benefits systems (Workday, SAP, Peoplesoft)
  • Advanced Excel skills and attention to detail
  • Strong analytical skills, experience in managing complex data and reporting
  • Fast learner, problem solver, deals comfortably with complexity and ambiguity
  • Proactive, independent, efficient, demonstrates a “ can do attitude”
  • Customer oriented
  • Effective communicator and team player
  • Fluency in Polish and English ( spoken and written)
  • Working knowledge of Polish payroll regulations, tax and labour law
