Your responsibilities

Office Coordination:

• Manage the travel bookings for the GBS employees in compliance to the Travel and Expense policies (is the local Travel Support Contact Person)

• Manage all access cards to Warsaw GBS office (orders, access distribution, cooperation with the landlord)

• Manage all taxi cards/vouchers

• Contact with all vendors

• Take care of stocking our cafeteria and office supplies

• Support the process of checking incoming invoices related to Office Services & Events (OS&E) and preparing them for the Local Finance Team

• Act as the local support contact for all guests visiting the Warsaw GBS office (logistics, access cards, office tours and ad hoc tasks)

• Coordinate the preparation and upload of slides with information for the info screens

• Create content regarding internal communication, support the upload and preparation of updates to the Warsaw GBS Intranet

• Coordinate preparation of all office meetings (support slides preparation, room booking and layout, sending out invitations to all participants)

• Manage parking spaces for our employees

Employee Well-being:

• Support organization of internal office events (coordinate catering agencies and logistics, acts as the Be well. Be Bain team member and support the execution of office wide initiatives)

• Coordinate all logistics and agenda for new hires (room booking, sending calendar invitations to all participants, updating and conducting the OS&E part of the induction presentation, leading office tours and welcome lunches, scheduling all necessary trainings, packing and sending all necessary equipment)

• Close cooperation with HR and TSG teams regarding People Movement process (new joiners, leavers, transfers)

• Act as the Safety&Security Team member - Log keeper – coordinates the BEACON test twice a year

• Coordinates all trainings and preparation for tournaments and the BWC (including court renting for both Volleyball and Football teams, preparing communication about tournaments/trainings)

• Support the execution of all initiatives driven by the Charity and Green teams.

Our requirements

  • Previous professional experience in a similar role or as an assistant or receptionist

  • Administrative and organiziational professional background

  • Demonstrated success in multitask and prioritize

  • Ability to work under pressure

  • Strong organizational and administrative skills

  • Educated to degree level in Business Studies and/or Business Management with a profound grasp of technical matters

  • Fluency in English and Polish
