Your responsibilities

  • Successfully managing busy and ever evolving diaries. Re-scheduling complex meeting often at short notice

  • Building and maintaining strong working relationships with key client contacts

  • Providing logistical and technical support for all meetings, conferences and workshops using PowerPoint, Word, Excel and online research

  • Working with our travel company to co-ordinate sophisticated travel itineraries and administering the timely procurement of visas and other travel documentation.

  • Proactively pre-empting travel plans and re-scheduling complex travel itineraries often at short notice

  • Proactively assisting managers in relationship building efforts by knowing who their priority contacts and companies are and setting up regular check-ins to create and maintain a relationship management plan for these priorities (only for Coordinator with a permanent allocation)

  • Employing best practices when accessing the CRM and digital mailing system, including timely and accurate creation/updating of contact information according to global data standards and active management of the mailing lists

  • Serves as CRM champion, educating supporting Senior Managers /Associate Partners /Vice Presidents on best practices and assisting new MAs

  • Processing time and expense submissions.

  • Managing complex expenses; running bank statement reconciliation and processing foreign currency receipts in an accurate and timely manner

  • Collaborate with other Coordinators (EA/MA Program) to develop best developed practices

  • Occasionally organize case team events, source venues and manage related activities

  • Involvement in internal office-wide projects

  • Positively contribute to GBS Warsaw EA/MA team office culture team by playing an active role in training new team members and assisting in office planning events; participating in team related activities and events and acting as a role model consistent with Operating Principles

  • Assist in the case team ‘kick-off’ processes; creating, maintaining and updating PowerPoint slides for kick-off meetings and weekly case team meetings (only for Coordinator with a permanent allocation)

Our requirements

  • Minimum 2-3 years of Professional experience as an Assistant

  • 1-5 years of experience working in a demanding corporate environment, preferably professional services, consulting or a blue chip organisation

  • Fluency in English is necessary

  • Fluency with German/ French will be an added advantage

  • Proficiency in using Microsoft Excel, Word, PowerPoint, and Outlook

  • Exceptional attention to detail

  • Outstanding organisation, prioritisation and time management skills

  • A proactive approach with a Can do! mentality

  • Pleasant and calm even when under pressure with an appreciation for confidentiality

As a Coordinator, you will be reporting to an EA/MA Manager responsible for supporting one or more EMEA offices as well as will be part of the wider group of Coordinators who will back-up and collaborate with each other. The primary responsibility of this role is to provide back-up and cover for the team including EAs, MAs, Team Managers and other Coordinators.

You will be expected to provide back-up/cover for upto 5 members of the Leadership team.This position requires an individual who is interested in developing a career within the administrative structure with an opportunity to develop organisational skills in a dynamic, entrepreneurial professional environment. It will provide many learning opportunities for a hardworking, enthusiastic and dedicated team player who is motivated by consistently achieving high standards and will help individuals to hone their communication and listening skills.
