Your responsibilities

As an EHS / Fleet & Administration Specialist your responsibilities will be split into 2 areas according to the following proportion: 30% FTE EHS responsibilities and 70% Fleet & Administration responsibilities.

Our requirements

  • Relevant EHS educational background confirmed with proper certificate/diploma,
  • University degree,
  • At least 2 years’ experience in EHS area in corporate environment,
  • Experience in fleet management in the past would be a huge asset,
  • Very good work organization and ability of multitasking,
  • Good command of English and fluent Polish is a must,
  • Driving license and good driving practice,
  • Very good command of excel,
  • Customer service approach and good communication,
  • Flexibility to work in a mix of office and field-based activities,
  • Technical affinity and interest in fleet/car area,
  • Critical thinker and problem-solving skills,
  • Good time-management skills.

Within EHS responsibilities (30% of time) you will be responsible for:

  • Carrying out checks and audits on work conditions for different groups of employees,
  • Informing the employer on an ongoing basis about identified occupational risks &hazards, along with recommendations aimed at removing these,
  • Giving opinions on detailed instructions on occupational health and safety at individual workplaces,
  • Participation in the assessment of occupational risk related to the performed work,
  • Organizing and ensuring an appropriate level of training in the field of occupational health and safety and ensuring proper professional adaptation of new employees (cooperation in this area with relevant organizational units or people in the field),
  • Advising on the provisions and principles of health and safety at work not only for the employer, but also for employees and persons performing the tasks of social labor,
  • Preparing and presenting to the employer, at least once a year, periodic analyzes of the health and safety at work containing proposals for technical and organizational measures aimed at preventing threats to the life and health of employees and improving working conditions,
  • Participation in handing over for use of newly built or reconstructed buildings/parts, in which work rooms, production devices and other devices affect the working conditions and safety of employees,
  • Participation in the work of the workplace health and safety committee appointed by an employer employing more than 250 employees and other corporate committees dealing with occupational health and safety issues, including the prevention of occupational diseases and accidents at work,
  • Work as part of a team examining the circumstances and causes of an accident at work,
  • Preparing and submitting any EHS related reports required by the employer,
  • Participating in preparation of any EHS related communication to managers and employees.

Within Fleet & Administration responsibilities (70% of time) you will be responsible for:

  • Coordination of the car fleet in CE: handing over cars to new employees, delivering car policy trainings, managing documentation, collection of the car from the user etc,
  • Preparation of fleet reports and summaries, recurring and on request,
  • In-depth support in the field of vehicle servicing - periodic inspections, analysis of the technical state of cars, the replacement of tires,
  • Coordination of the schedule of the technical fleet requirements,
  • Close cooperation with operational departments, mechanics, service stations and car users,
  • Verification of defects and placing orders for their repair,
  • Administration of documents related to the car fleet and archiving fleet documentation,
  • Administrative support of all company departments,
  • On a regular basis - contacting public administration offices, responsibility for the current flow of the documents between the public administration offices and the company,
  • Delivery and collection of tender documentation in Warsaw/Mazovian area,
  • Marketing samples - coordinating stock, managing shipments,
  • Organizational support in the field of meeting rooms preparation in the office,
  • Other administrative tasks upon request of the supervisor and Admin Team.
