Your responsibilities

Job Purpose

To be an extended part of the Europe Governance Operations (also known as EGO) team, to support the activities outlined below in the job desciption and accountabilities.

Job Description

The successful candidate will support geographies across Europe, including UK&I, CEE, Nordics and Western Europe. The key responsibilities include understanding the Customer Solution Life Cycle (CSLC) and EGO’s responsibilties within it, including scheduling and attending of Bid & Assurance Reviews across the UK&I for all levels and levels 4&5 across Europe and also utilising the relevant tools used by the EGO to support these activities. Such as Outlook, Deal Tracker (a SharePoint based tool we use to manage the reviews we schedule and attend), other SharePoint sites, Microsoft Office & Microsoft Teams. The successful candidate will also be the first point of contact for any queries related to the Assurance Framework.

Key Accountabilities

• Review Management

- Set up and manage all assurance and authorisation review types

- Ensure Salesforce & Deal Tracker records are kept updated

- Co-ordination of the loading of all the collateral defined in the defined stages of the process

- Set up of a deal within the Deal Tracker Toolset on SharePoint

- Ensure all reviews have the quorum attendees represented

- Ensure appropriate approvals from the relevant person/people in the Business are gained prior to moving or cancelling a Review

- Maintenance of EGO managed Review timetables and keep updated with EGO

- Maintain full audit trail of documentation, actions, authorisations/approvals, emails and authorisation requirements (i.e. conditional authorisations)

- Adding details of reviews to internal team tracker for managing workload/handover

• Group Mailboxes

- Ensuring the mailbox stack is managed in a way that ensures timely responses to emails, all items are categorised by COP each day and all e-mails from the previous day are deleted and filed as appropriate

• Continuous Improvement

- Ensure continuous improvement and enhancement of review scheduling activities

• Query Management

- First point of contact for all queries, only escalating queries where needed with a recommended solution. Engagement with external teams includes Sales, Pre Sales and EA’s/PA’s – using phone and Teams as a primary method of contact, following up with e-mails where outcomes need to be documented
