Executive Assistant - Sales Support

Responsibilities of the Executive Assistant:    

  • Administrative support of the Sales Director as well as the whole Sales Team in their daily work
  • Participation in marketing and development projects based on the company strategy; organizing promotional materials and presentations, managing LinkedIn profile
  • Managing Sales Department documentation - preparing documents, coordinating contracts workflow (eg. between Sales and Legal Department) preparing drafts, correspondence, reports, and various analyses for Sales Director and the Sales Team
  • Coordinating invoices workflow; managing payments deadlines, ensuring on-time payments 
  • Running all kinds of researches for the Sales Team; price comparisons, visibility, monitoring and analyzing markets for new opportunities, reaching ways of reaching new customers
  • Supporting the Sales Director in all daily duties; managing calendar, scheduling meetings and calls, arranging travels flights, tickets, licenses and some payments

Our requirements:

  • Experience in a similar position preferably in sales, project management, marketing or business consulting
  • Fluent in Polish and English (C1 level is a minimum)
  • Great organization and independence: ability to manage priorities and multitask under time pressure; strive for perfection but remain calm and patient while facing obstacles
  • Great research and analytical skills
  • Ability to spot and solve problems quickly and intuitively
  • Very good knowledge of Office 365 tools (Excel, Word, Team, Outlook)

What you can expect in the recruitment process:

  • Step 1 Analysis of received applications (CVs) - at this stage we will select the CVs which will cover most of the features we indicated in the offer, and then contact selected candidates
  • Step 2 Logical test - until further notice in a remote form, testing competency of analytical thinking
  • Step 3 Recruitment interview with HR person (videocall)
  • Step 4 Recruitment interview with Sales Director
