For our Client - one of the largest mobile operator, we are looking for the Candidates on "Executive Assistant to CEO" position based in Warsaw.

Your responsibilities

  • Perform a broad of variety of administrative tasks that help the CEO's effectively lead the organization, including: assisting on special projects, designing and creating complex documents, reports and presentations, collecting and preparing information for meetings with employees and external parties

  • Act as the primary point of contact for internal and external constituencies on all matters relating to CEO, icluding those of a highly confidential or critical nature. Prioritizing and determining the appropriate course of action, referral or response, making an assessment that reflects the CEO's style and organization policy

  • Provide sophisticated calendar management for CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements

  • Support in the preparation of Executive Team meetings and retreats, and assist with staff meetings and events when needed

  • Support and organize all logistics of Board meetings and events: meeting schedule, draft agendas, develop, compile and distribute presentation materials

  • Work closely with the CEO to keep him well informed about upcoming commitments and responsibilities, and then monitor accordingly. Act as a "barometer" having a sense for the issues taking place in the environment and keeping the CEO informed. Anticipate the CEO's needs before meetings, conferences, etc.

  • Invest in building long-term relationships, both external and internal

  • Provide on-demand event management support

  • Other projects / responsibilities assigned for the overall benefit of the organization

Employer requirements

  • Proficiency in using Microsoft Office and DTP software, ability to design and edit graphic presentations and materials

  • Have significant executive support experience, including supporting C-level executives

  • Have strong verbal and written communication skills

  • Be able to make appropriate, informed decisions about priorities and available time

  • Be able to react with the appropriate level of urgency to situations and events that require a quick response or change of situation

  • Have exceptional organizational skills and impeccable attention to detail

  • Be able to maintain a high level of honesty and discretion in handling confidential information

  • Be able to complete a large number of tasks and projects with little or no guidance

  • Have a high degree of professionalism in dealing with a wide variety of people, including board members, senior management, staff, community leaders
