Oversee management of office access cards, processing of incoming/outgoing mail, courier services, deliveries, and ad-hoc admin duties as required.
Build and manage relationships with external contractors and key internal stakeholders.
Ensure PO’s are raised on time, within the budget and communicated to the vendors in timely manner. Assist AP on vendor invoicing queries.
Oversee planned preventative maintenance and reactive maintenance for facility locations. Maintain all furniture, fixtures and equipment in good working condition for use by the employees and guests.
Oversee all aspects of Health and Safety (BHP) within entrusted premises.
Manage space and Occupancy Planning. Oversee furniture installations and space alternations. Update floor plans and sitting plans.
Manage physical security and assist Global Security with safety aspects. Support Groupon Emergency Response Team activities and communications via Preparis (online system for BCP situations).
Monitor stock levels and place orders for stationery, snacks, beverages within the cost centre as allocated by the FM Lead.
Manage office cleaning, work with cleaning supervisor to ensure high standards of office cleaning, carry out regular spot checks and coordinate score-cards.
Oversee and order catering for weekly business lunches & office-wide events. Source the best pricing and most reliable suppliers ensuring cost effective budget management.
Attend Office Leadership meetings to discuss changes and issues in the office, propose solutions, manage expectations and deliver expected resolutions using actions plans.
Liaise with Office Managers across the region, assist with the development & implementation of regional policies & initiatives.
Manage Freshdesk ticketing system within SLA’s. Ensue satisfaction of office colleagues and customers
Any ad-hoc duties that arise from global Procurement, Travel or Operations.
Minimum of 3 years in a similar role
Fluent in written and spoken English
Experience with Microsoft Office and Google applications
Good understanding of office management
Understanding of technical aspects of office management
Previous exposure to Project Management
Very good Customer Service and stakeholder management
Experience working with Preparis and Freshdesk would be an advantage
