Your responsibilities

  • Responsible for delivery, quality, safety and cost of all in scope services

  • Responsible for ensuring facility management in accordance with the contractually agreed scope of services

  • Provide specified administrative support to the Regional Ops Manager in the KPI reporting and financial processes-resolution, bring consolidated data for Budget vs. Actual overview

  • Act strongly in consulting within creating, developing and controlling the budget to central specifications as well as deviation analyzes; adjust measures to achieve the defined financial objectives and to meet the Business Plan for the Site

  • Create Operational-Financial Forecasts for the location. Maintain the company's internal rules for financial processes to ensure punctual and process-based billing

  • Continuously review of all services for contractual conformity

  • Responsible for subcontractors’ management on Client site in Krakow

  • Place Purchase Orders, control Receipts, match Invoices in dedicated ERP platforms within contracts or/and P2P business

  • Ensure the Health and Safety requirements and guidelines are observed including risk assessments for staff, subcontractors and visitors

  • Ensure all contract activities comply with all company, legal and client requirements for Health and Safety, Quality Management, environmental policies and general duty of care

  • Supervise of the safety equipment planned maintenances in coordination with landlord or/and dedicated expert suppliers

  • Implement standard processes, continuous improvements and Best practice methods

  • First escalation point for all issues and incidents across Client site in Krakow

  • Regular and intensive customer contact as well as continuous care and improvement of the business relationship

  • Rebuild changes to the office, space planning – cooperation with suppliers

  • Prepare of the documents/procedures to secure access to the office and in the places used in a crisis situation

Our requirements

  • Experience of min. 3 year in a similar position or presentably related position

  • Experience of managing, subcontractors, vendors and different services related to office

  • Fluent in Polish and minimum upper intermediate English (B2)

  • Having qualification in office supplies based discipline and experience of sub-contractor supervision

  • Experience of managing budgets

  • Organizational skills to arrange team schedule

  • An ability to review and analyze financial data and business reports

  • Excellent verbal and written communication skills

  • Attention to detail and ability to work under pressure

  • Single performing negotiation skills

  • verbal experience in managerial communication
