Your responsibilities

  • Provide support to the departments by gathering and analysing data in the establishment and/or maintenance of corporate business processes, procedures and policies

  • Establish and/or prepare management and operational reports

  • Develop management reports and key performance parameters through gathering, analysing and summarizing data and information from the project team

  • Assists in the initiation, coordination and analysis of resource allocation, financial controls and documentation preparation

  • Assists with the preparation of a variety of reports covering budget status, forecast reports and other management reports

  • Ensure right planning and delivery of priorities, projects and activities, by GPS function to support AZ, Procurement and GPS strategy

  • Drive consistency and continuous improvement of processes by incorporating internal & external best practice

  • Develop and manag execution of project plans for projects or programmes, including activities, resources, costs, roles, responsibilities and quality and ensures tracking of the project delivering on time and on budget

  • Provide support to the Team in planning, managing, and monitoring major projects from concepts through implementation and may also manage own smaller projects

  • Effectively manage changes to project/programme scopes

  • Establish relationships with business stakeholders to capture business requirements and ensure their understanding and commitment to the project/programme objectives

  • Evaluate and monitor performance and efficiency of programs to ensure that program implementation is on target

  • Work with project staff to prepare cost application and budgets for new business development

  • Work on overall project planning through organizing meetings, reporting on project schedules, deliverables and preparation of meeting agendas and minutes

  • Help to ensure communications are on-message and pushed through the appropriate channels

Our requirements

  • Experience of working application of policies, procedures and guidelines

  • Excellent knowledge of Excel and experience of a variety of project management and analytical software/systems

  • Experience of managing projects or in a similar role

  • Understanding and application of change management principles.

  • Able to translate unstructured business problems into a data design and solution

  • Well-developed organizational and interpersonal skills

  • Can create and maintain systems for efficiency for both self and others

  • Experience in creation and presentation of one-pagers and dashboards

  • Excellent English communication skills to manage stakeholders’ high level in the organisation with Global teams

  • Understating Lean and Agile methodologies

About the role:

As a Portfolio Project Expert, you will be responsible for initiative arising from Global Procurement Services (GPS) but also wider Procurement (especially Strategy & Operational Excellence). The main areas of your work will be related to processes, data gathering and analysis, and generating insights for GPS.

You should be able to identify opportunities for enhancement in operational processes, share your ideas and ensure right execution. You should present entrepreneurial mindset and develop continuous improvement capability.

There will be an expectation that the job holder will act as an ambassador of GPS, confident and capable of talking about any element of GPS & AZ Procurement Value Proposition. It is important that person on this position has strong communication skills as will operate with senior stakeholders. Confidentiality of data on that position is required.

On this position you will lead small projects or support large projects/programmes. You should have a working knowledge of project management methodologies, tools and templates and contribute to the development and maintenance of work products or change programmes. You need to ensure that business requirements are effectively captured and are responsible for effective tracking and reporting of project management information and highlighting and supporting resolution of areas of risk in project delivery. You will prepare documents and support the development of campaigns used in internal communications.
