Your responsibilities

  • Acting as a point of contact for administrative support for the Gdansk Office - benefits, holidays, contracts and documents.

  • Supervision over the timeliness of medical examinations, health and safety training, contract extensions.

  • Managing and keeping employee files up to date

  • Managing the employee Social Fund

  • Providing inputs for Payroll in a timely and accurate manner

  • Ensuring the accuracy of data updates in all HR and Payroll systems.

  • Preparing necessary work related statements and certifications for employees

  • Provide relevant HR reports for external and internal purposes

  • Cooperation with other departments and payroll provider to ensure timely and accurate information and documentation flow.

  • Support in ensuring proper document workflow in the office as well as raising purchase orders and/ordering office supplies (approx. 10% of work time)

Our requirements

  • Experience in a similar position of minimum 2 years

  • Very good command of English - both written and spoken is a must

  • Good knowledge of legislation related to labor code and social security regulations in Poland

  • High degree of proficiency in relevant computer applications and Excel

  • Well developed analytical and problem solving capabilities


  • Knowledge of immigration law (visa and working permits) - will be be considered a strong asset

  • Experience in managing payroll processes of other countries will be considered an asset
