Your responsibilities

  • In accordance with established working practices and service level agreements, administering employee life cycle processes, such as salary changes, promotions, family related leave, job changes, leavers etc.

  • Producing accurate correspondence, ensuring quality data is recorded and the timely flow of data changes to Payroll

  • Manage the HR Services central mailbox, providing quality first line advice to employees on a wide range of queries

  • Administer the process for new employees and workers, for example; prepare contracts, offer letters and process all pre-employment checks

  • Ensure all new employees are invited to the monthly HR Induction

  • Ensure accurate administration of employee benefits tracking benefit schemes

  • Work with HR to ensure that all reward/bonus/commission schemes are accurately recorded and company document is stored appropriately

  • Accurately collate pay/hiring requests to support Remuneration Committee meetings

  • Ensure that data is correctly recorded to support payroll timelines, providing data that supports accurate pay submission HR

  • Administration of HR Management System (PeopleHR)–ensuring that the HR database is kept up to date and accurately reflects the current employee employment conditions and details

  • Conduct data validation checks in set timescales to ensure people data is accurate and up to date

  • Provide appropriate reports from the HRMS for the purposes of monitoring employee data and auditing (including monthly retention reporting, monthly salary & promotions reporting)

  • Support with notetaking where required for formal employment/employee meetings including disciplinaries, grievances, redundancy etc.

  • Support the People Team in developing and implementing new projects

  • Other support duties as required

Our requirements

  • Excellent administrative skills

  • IT literate and excellent organisational skills

  • Experience of providing professional HR Administration or Administration support within a complex and fast-moving environment

  • Strong interpersonal skills, able to communicate with stakeholders of all levels

  • Excellent communication skills, both verbally and written.

  • Inquisitive, looks at ways we can improve processes which best support out colleagues

  • Always demonstrates a professional manner ensuring that confidentiality is maintained at all times

  • Proven ability to prioritise and manage multiple tasks within deadlines

  • Excellent attention to detail

  • Experience working as part of a team

  • A proactive, ‘can do’ attitude

  • The ability to work under pressure when completing deadlines

  • The ability to work with efficient, flexibility and using initiative

  • Confidence and capability to build relationships and communicate with stakeholders throughout the organisation
