Your responsibilities
The HR Officer is responsible for ensuring that the day-to-day HR and administration activities are performed in accordance with IRC policies, procedures, and appropriate HR practices. HR Officer is also responsible for GDPR procedures for Polish with the cooperation of regional GDPR team. The position reports to the HR Coordinator and works closely with the HR team to ensure effective and efficient HR and administrative services are provided to support program activities in Poland. Major Responsibilities:
Personnel Administration:
• Running HR administrative tasks including time and effort, paid time off tracking, completing status change forms and other assigned paperwork
• Prepare employee contracts and ensure that staff have the resources they need to perform their jobs
• Prepare all personnel administration documentation for employees
• Prepare HR and data reports and analysis regarding employee administration
• Preparing monthly payroll files
• Ongoing cooperation with payroll vendor
• Administration of Workday platform
• Administration of Time & Attendance platform
• Respond to common employee inquiries regarding payroll, benefits, and policies
• Conduct monthly admin orientation with new staff
• Assist with other related activities as assigned
GDPR:
• Supervising of the GDPR information flow: clauses, agreements
• Monitoring activities in the organization in terms of compliance with GDPR
• Cooperation with regional GDPR and IT team
Our requirements
Education Degree or professional certificate in Human Resources or equivalent work experience.
Meaningful professional experience in human resources and personnel administration in similar position preferred
Prior experience in running personnel admin processes
Prior experience of preparing/disseminating payroll is a plus
Prior experience in running & implementing GDPR processes
Prior experience in Workday is a plus
Language: Fluent in Polish. Strong English proficiency highly preferred.
Functional knowledge, skills, and ability:
Practical knowledge of Polish Labor Law
Practical knowledge of regulations in the field of personal data
Works collaboratively with team members to achieve results.
Relates and works well with people of different cultures, gender and backgrounds.
Ability to create a welcoming and comfortable environment for all staff members
Ability to work both independently and as part of a team
Able to respond rapidly to changing environments, yet remain productive and focused
Strong digital literacy (primarily Word, Excel, and Outlook)
Must have the right to work in Poland.

Now, the IRC provides support to refugees and migrants in Germany, Italy, Bosnia-Herzegovina, and the UK. The IRC launched an emergency response to the crisis in Ukraine Crisis in February 2022 and has been working directly and with local partners to reach those most in need. We are in Poland, Ukraine, and Moldova, delivering vital services such as cash assistance, mental health support, and safe healing and learning spaces for children.
