    HR Operations Specialist – Employee Onboarding & Lifecycle
    Work location: Kraków
    The role:

    As a HR Operations Specialist in our Krakow Business Solutions Center (BSC), you will play an important role in providing excellent HR services to the Americas region as part of the Onboarding or Lifecycle team. This role will require a confident, self-motivated, detail and people oriented individual as you will be responsible for building lasting relationships with candidates and/or HR clients and delivering top notch service. 

    This role will require from you to work in the Americas region supporting shift (8:00-20:00).

    The role will be located in the UBS office in Krakow (Green Office). 

    • Taking full responsibility for receiving, managing and tracking HR requests to provide high quality HR services to employees, new joiners and HR colleagues 
    • Delivering HR services according to agreed service level agreements and operational guidelines 
    • Escalating issues when required and working with appropriate parties to resolve 
    • Working collaboratively with team members to establish and maintain a confidential and trusted work environment 
    • Supporting continuous process improvement initiatives by identifying opportunities and developing solutions 

    As a part of the Onboarding team you will be responsible for: 

    • Creating, sending, and monitoring return of offer letters and other new joiner/ external staff documents 
    • Entering new joiners into the HR system, ensuring attention to detail 
    • Coordinating line manager, candidate, recruiter, and branch hiring manager communications regarding candidate onboarding status 
    • Completing employment eligibility verification process 
    • Setting up and monitoring background investigation process 

    As a part of the Lifecycle team you will be responsible for: 

    • Modifying and updating employee and organizational data in the HR system, ensuring attention to detail 
    • Analyzing service requests to proactively identify what is needed prior to completing transactions in terms of impact to systems and clients 
    • Working closely with the HR Line Manager Advisory Team in creation and timely payments of severance agreements and final payment requests for employees leaving the bank 
    • Creating, sending and monitoring return of HR documents issued to employees 
    • Bachelor or Master degree, or equivalent relevant working experience 
    • Excellent written and spoken English 
    • Advanced MS Office skills 
    • Professional verbal and written communication skills 
    • Analytical skills combined with strong attention to detail 
    • Excellent time management and prioritization skills 
    • Ability to work in a team and strong collaboration skills 
    • Self-motivated with a result-oriented approach to daily tasks and responsibilities 
    • Ability to multi-task and work under pressure in a fast-paced environment 
    Additional assets:
    • Knowledge of HR applications 
    • Experience in HR or Shared Service Operations 
    • Knowledge of onboarding processes such as employment verification processes, background investigations, offer letters and data entry (for the Onboarding team) 
    • Knowledge of HR/Payroll systems (for the Lifecycle team) 
    • Spanish / Portuguese language skills
