HR & Payroll Administrator- UK&I, The Nordics, MEA & Poland

Position Summary:

The role of HR/Payroll Administrator is to provide efficient administrative support to the Human Resources and Payroll functions. The role will be based as part of the HR Shared Services team in Wroclaw Poland.

Your Responsibilities Include:

HR Admin

  • Be the first-tier response to any HR admin queries
  • Manage the HR inbox and pass on any queries that cannot be answered to the relevant HR person
  • Manage the paperwork and process for all recruitment and resignations from the company including any tracking of data.
  • Maintain accurate records of employees on the HR system including any changes to employment terms and advising the relevant departments as appropriate.
  • Tracking and monitoring of Working Time
  • Ensuring the HR intranet pages are kept up to date.
  • Responding to employment and mortgage references.
  • Generating Business Visitor invite letters for immigration purposes and tracking and monitoring of new/existing visa holders.
  • Maintenance of electronic employee personnel files.
  • Coaching and guiding line managers with self service requests
  • PTO Queries
  • Probation tracking – chasing manager and confirmation letter
  • Updating the Data retention system and ensuring we are compliant with Data Protection regulations

Payroll Admin

  • Be the first-tier response for any payroll queries
  • Manage the payroll inbox and pass on any queries that cannot be answered to the relevant Payroll Manager
  • Manage payroll information, liaising with in country payroll managers as necessary and ensuring accuracy and timeliness.
  • Manage the invoicing (PRF) process
  • Collate monthly payroll data for payment through our 3rd party provider ADP

General Admin

  • Administration support to the HR and Payroll team as and when needed.
  • Adhoc activities and projects which you may be requested to be involved in.
  • Responding to HR & Payroll audit requests
  • Complying with monthly reporting requests both internally and externally

Knowledge and Skills, that You Bring to the Organization:

  • Experience of using computerized HR & Payroll systems
  • Experience of dealing with confidential matters
  • A good standard of written and spoken English with a pleasant telephone manner and the ability to communicate effectively both verbally and in writing at all levels
  • Other language capabilities would be beneficial – Nordics
  • Computer literacy (including Microsoft Office & databases)
  • Team Player
  • Ability to use initiative
  • Ability to multi-task
  • Flexible
  • Ability to organise and prioritise
