About the project
The role provides assistance to the IT Portfolio Manager to successfully deliver the Regulatory book of work for UK CMB from Initiation to closure. They will act as a source of guidance, governance and metrics on Regional programmes/projects supporting the Portfolio Manager for strategic decisions. They will deliver PMO services as agreed with the IT Portfolio Manager ensuring project management tools are set up according to Group standards and methodologies.
Assists Portfolio Manager with Programme mobilization including activities such as securing investment, onboarding resources and setting up the Project plans’ structure, and in particular the finance model
Assists with the setup and maintenance of Programme key controls, assigning of Time booking role/task responsibilities, cost forecasts, milestones and Status reports
Supports IT Portfolio Manager to demonstrates best practice for financial management, tracking forecasted spend v plan, and maintaining control of the programme budget.
Supports good project induction and orientation – i.e. assist new team members to understand the Regulatory portfolio context and content, the importance of stakeholder management and wider project goals
Manages Risks and Issues through appropriate tracking and involving key members of the programme/project team as appropriate
Tracks, reviews and controls programme/project progress and performance throughout its delivery lifecycle; anticipating potential risks and issues related to budget and escalating as appropriate
Support the Portfolio Manager with closure activities, and ensuring Project Managers stick to strict project completion guidelines
Understands basics of financial performance and budget control metrics, and able to extract into excel spreadheets or other reporting views to spot opportunities and / or threats
Shows high standards of professionalism in the quality of written and personal communication, especially when recipients are business and delivery partners
Shows flexibility and willingness to apply themselves to different tasks; does not need constant supervision
Conducts monitoring and highlights risks or issues on projects not complying with Group standards/policies and reports appropriately
Supports IT Delivery partners by providing ongoing PMO guidance for setting up their own project administration
Building and maintaining relationships with a diverse group of stakeholders for the benefit of the projects. Ensure a joined up approach, to support execution of the projects at pace and with minimum conflict whilst also ensuring all of their expectations are met.
Previous experience managing project delivery or management office tasks for single or multiple IT projects and programmes
Finance experience in any of the following areas; new investments, budget control, resource cost control, finance cost analysis, general accounting or finance experience
Manage the collection, collation and processing of project information from stakeholders into succinct, and accurate portfolio level reports
Experience of using relevant software packages, i.e. MS Excel, MS Project, OpenWorkbench, Clarity or equivalent tool
Build relationships with internal and external UK and offshore business and IT stakeholders
Tracking statuses of project deliverables and milestones, incl. Risk and issue monitoring and co-ordination
Co-ordination of regular project meetings to check adherence to project governance in accordance to monthly and quarterly tollgates
Assist with enforcing the implementation of project standards across projects are maintained at all times
Managing and updating project documentation, process documents and information sources
Experience working in relevant market/context, i.e. financial services, previous Regulatory or Compliance functions is desirable
Work experience in a large corporate with multi-cultural teams in different geographies is a plus
PMP training or certification
Advanced Finance, accounting or MS Excel certifications
Understanding of the standard and agile IT project lifecycles
