About the project

Reporting to the Senior Director – Global IT Portfolio & Project Management (PPM), this all-rounder IT Project Manager will lead multiple technical, enterprise-wide IT programs and projects, working alongside senior and exec level stakeholders and Subject Matter Experts. The Project Manager will define and track project plans and timelines, milestones, deliverables and tasks, provide status reporting and coordinate / chair project meetings as required to ensure projects are delivered to time and budget. This role will be expected to support projects within the ANZ & APAZ time zones whilst engaging with EMEA and NA leadership as appropriate, therefore flexibility regarding working hours will be required and agreed through line management.

25% of this role will also support our PMO Governance function by supporting the Global PMO Manager and the day to day running of the PMO governance function. Examples of these activities include supporting project intake processes, QA of inflight IT projects, management and oversight of the PPM toolset for data accuracy, supporting PM’s to resolve issues and enforce methodology. Due to the nature of this elemant this role will have a dotted line into the Global PMO Manager also. Project Managers within the IT PPM organization will define and lead projects across the ACCO Globe, delivering the change agenda as agrees with the Executive Leadership of the company.

PM’s are expected to ensure that all change programs are managed tightly and effectively, minimizing risk and exposure to the business, whilst aligning with ACCO’s project delivery principles and methodology for transparency, financial management, risk exposure and overall visibility in accordance to the guidelines provided by the Global PPM organization.

This individual must ensure requirements are met and completed while meeting quality for operations and establishing documented process and service ownership for after the project ends.

AS a US-owned global company, adherence to SOX & ITGC compliance standards at all times is expected.

Your responsibilities

  • Primarily focusing on the delivery of IT projects in the ANZ & APAC regions (but other regions as required) to time, budget and resource constraints, following the ACCO Brands global project methodology and reporting requirements.
  • Support of the Global PMO function through direction from the Global PMO Manager, expected to be approximately 25% of the time
  • Full lifecycle management of IT projects, from concept through to delivery and benefits realization
  • The nature of IT projects includes Enterprise Applications, ERP, eCommerce, Web & Digital platforms, Infrastructure
  • Key principles of project management including:
  • Project planning (milestones, deliverables and tasks)
  • Risk & issue management and reporting
  • Project budget coordination
  • Resource planning
  • Status reporting
  • Relationship management with project stakeholders, senior management, peers and project teams
  • Provide project governance ensuring that pre-implementation site readiness assessments are carried out to secure approval/confirmation of project site kick-offs.
  • Actively partner with business stakeholders, IT leaders and project sponsors to manage program/project scope, risks and issues to gain consensus on go-forward approach/plans.
  • Creates and manages resource plans by providing strategic and tactical resource forecasting, providing predictive analysis of resource demands, and requests appropriate resources for project needs.
  • Develops and establishes project budgets, manages changes and financial forecasts, and tracks actual costs and variance to the approved budget.
  • Ensure projects are implemented in accordance with established project methodologies, ensuring that communication channels and appropriate milestone reviews are in place.
  • Continuously measure performance to ensure the program and projects are progressing per original plan and budget.
  • Coordinate resources to ensure program/project and business needs are addressed through proactive priority management with business leaders.
  • Communicate project progress by producing targeted project reports to provide timely and accurate status and decision support information to project teams, project stakeholders and senior leadership. Uses subject matter expertise to articulate high-level technical status and provide status reports to the appropriate audience.
  • Drive conflict management and issue resolution.
  • Demonstrates exceptional leadership and motivational skills, clear communication and vision.
  • Directs large scale, technical projects, and collaborates with employees, leadership, clients, and other internal and external stakeholders.
  • Ensures all project artifacts and deliverables are documented, approved, and stored for reusability, support, and audit purposes in designated project tools.
  • Maintains effective partnerships with teams, vendors, managers, leaders, and stakeholders.
  • Finalizes projects by ensuring all necessary close-down and transition steps are taken and documented.
  • Identifies and resolves problems often anticipating issues before they occur or before they grow; develops and evaluates options and implements solutions.
  • Leads stakeholder/team meetings and demonstrates confidence, control, and public speaking proficiency.
  • Identifies opportunities for streamlining and increasing effectiveness through continuous process improvement.

Our requirements

  • The successful candidate will have a minimum of 3 years of recent or progressive project management experience including planning and executing complex IT projects across multiple locations and geographies.
  • Previous experience of operating in a formal PMO function is essential.
  • Ability to manage multiple projects in a fast-paced, deadline-driven environment.
  • Ability to manage ambiguity, problem solve, and implement/modify program/project control processes and/or metrics as needed to ensure target outcomes are achieved.
  • Flexibility to operate in different time zones to meet the demands of assigned projects
  • Formal training and a recognised qualification in a recognised project management methodology such as Six Sigma, PMP, PRINCE2, MSP is essential.
  • Excellent interpersonal and communication and the ability to effectively present to senior management.
  • Self-starter who works with minimal supervision.
  • Demonstrated experience in project budgeting and monitoring.
  • Facilitation in governance, project reviews, steering, and other project-related meetings.
  • Demonstrable experience in creating and maintaining large scale project teams and budgets.
  • Must have excellent verbal and written communication skills and facilitation skills including presentations to C-Suite executives, senior leadership, peer groups, and associates.
  • Ability to create and manage detailed project plans and report critical path.
  • Must be flexible in diving into project detail when necessary, while keeping the overall picture in mind.
  • Adept at assessing project issues and variance, responding appropriately and driving toward the next steps for resolution.
  • Must be able to problem-solve and devise workable solutions quickly.
  • Demonstrated leadership and team-building skills with the ability to influence and motivate project team members that report to other groups in the organization.
  • Proven ability to develop business relationships and communicate successfully with people at all levels of management; exhibit excellent interpersonal and diplomacy skills.
  • Extremely responsive with a strong sense of urgency.
  • Able to flex to support the changing needs of the project.
  • Demonstrated mastery as a project manager, delivering successful IT projects and/or operational excellence (Six Sigma) initiatives.
