Overview

Operations, Services and Technology is a pivotal part of the Group, providing essential operational and technical support to our global businesses and helping improve customer service and efficiency. Operations, Services and Technology combines global expertise and technology to help keep us ahead of the competition.

IT Operations manages the IT infrastructure and supporting services that are critical for HSBC employees and customers, such as cost-efficient hardware, system software, middleware and databases, Data Centers, Voice and Data networks, Cloud & External Infrastructure services, ATMs, Desktops and other devices.

Within IT Infrastructure, Telecommunications provides services covering networks, security, voice, video, contact centre, trade floor and media recording.

We are currently seeking an experienced professional to join our team in the role of Vendor Manager.

Key Accountabilities:

  • The Vendor Manager plays a key role within HSBC’s supplier management framework to provide holistic oversight of entire supplier relationships, focusing on major global Telecommunications partners, for example Cisco, BT, Vodafone, NTT, Orange, and Genesys
  • Providing oversight, guidance, support and management information to monitor and ensure effective third party engagement management across Telecommunications services globally
  • Confirming goods and services are not received before signing a contract with third parties
  • Interacting directly with third parties to ensure contracted services are received
  • Driving risk management activities with contract owners
  • Acting as the primary point of contact for owned engagements, and point of escalation for wider engagements
  • Sourcing and reporting on engagement performance and performance metrics data
  • Initiating and tracking remediation activities
  • Reviewing the Supplier Performance Dashboard in order to obtain oversight of the aggregated Supplier Risks and Performance RAG status over all the engagements with same Third Parties
  • Sharing the Supplier Performance Dashboard with key stakeholders
  • Establishing and agree additional KPIs with Third Parties
  • Holding regular meetings with Third Parties to review holistic performance and ensure minutes are documented with any actions/decisions agreed
  • Escalate to appropriate Risk Governance forum the long standing and overdue issues for all critical engagements
  • Developing a plan to improve service provision and create opportunities for growth

Impact on the Business/Function

  • Influence and collaborate with senior stakeholders (CIO, COO, CEOs) and business partners, building strong relationships to ensure consensus and influence change outcomes. Fosters open and honest communication which anticipates stakeholder expectations
  • Partnering with vendors, Senior Technology and business stakeholders in reacting to challenges and recommending and managing resolution plans
  • Partnering and influencing vendors and senior stakeholders in delivering continuous improvement to ITID

Customers / Stakeholders

  • Ensures close and effective working relationships with Operations, Product Management and Global Fulfilment.
  • Builds trusted relationships with senior leadership across the global ITID function, functional heads across Technology and HOST
  • Establishes effective mechanisms for decision making and for appropriate escalation of information to appropriate management

Leadership & Teamwork

  • Actively encourages a learning culture, encouraging collaboration and cross-functional working to develop colleagues across the global ITID community
  • Develops critical skillsets in team members and provide a stimulating work environment
  • Recruits and retains high calibre, diverse team members, developing the capacity, capacity and talent to provide for succession and ensure delivery of ITID objectives
  • Establishes effective career paths and mobility opportunities across the global ITID organisation

  • Works with key senior stakeholders in Technology and across the Group to identify priorities and recognise potential areas of opportunities

Operational Effectiveness & Control

  • Ensures appropriate oversight mechanisms and high standards of internal control
  • Build collaborative rleationships, defines and atriculate to stakeholdres the targeted benefits for organisational change intervention. Communicate changes in policy and governance effectively, reinforcing risk processes within the team
  • Leads the development of metrics to track and measure the delivery and impact of engagement programmes, sharing insights with the Cybersecurity leadership team
  • Enhances operational controls through constructive identification and challenging of issues
  • Ensure adherence to all set governance and policies

Management of Risk (Operational Risk / FIM requirements)

  • The jobholder will ensure the fair treatment of our customers is at the heart of everything we do, both personally and as an organisation
  • This will be achieved by consistently displaying the behaviours that form part of the HSBC Values and Culture, adhering to HSBC risk policies and procedures, including notification and escalation of any concerns, and taking required action in relation to points raised by audit and/or external regulators
  • The jobholder is responsible for managing and mitigating operational risks in their day to day operations. In executing these responsibilities, the Group has adopted risk management and internal control structure referred to as the ‘Three Lines of Defence’. The jobholder should ensure they understand their position within the Three Lines of Defence, and act accordingly in line with operational risk policy, escalating in a timely manner where they are unsure of actions required
  • Through the implementation the Global AML, Sanctions and ABC Policies, supporting Guidance, and Line of Business Procedures the jobholder will make informed decisions in accordance with the core principles of HSBC's Financial Crime Risk Appetite

Observation of Internal Controls (Compliance Policy / FIM requirements)

  • The jobholder will adhere to, and be able to demonstrate adherence to, internal controls and will implement the Group compliance policy by adhering to all relevant processes/procedures
  • The term ‘compliance’ embraces all relevant financial services laws, rules and codes with which the business has to comply. This will be achieved by adherence to all relevant procedures, keeping appropriate records and, where appropriate, by the timely implementation of internal and external audit points, including issues raised by external regulators
  • The jobholder will implement measures to contain compliance risk across the business area. This will be achieved by liaising with Compliance department about business initiatives at the earliest opportunity. Also and when applicable, by ensuring adequate resources are in place and training is provided, fostering a compliance culture and optimising relations with regulators

Requirements:

  • Vendor management experience of 5+ years
  • Degree level education or equivalent
  • English language
  • Strong stakeholder management and communication capabilities
  • Strong depth and breadth of technology knowledge, with direct experience of Telecommunications Services preferred
  • Effective stakeholder management skills with a focus on building long-term relationships, and collaborating directly with a variety of vendors, customers and colleagues at all levels of seniority (technical, business, development, compliance, etc.)
  • Proven ability to articulate complex and technical issues concisely, suitable for all levels across the HSBC group
  • Gravitas and ability to interact with senior business management and vendors
  • Flexible and adaptable to changing activities, schedules and work loads
  • Respectful of different cultures, and experience of working with colleagues from across the globe as part of a global team
