Your responsibilities
Key Accountabilities:
• Provide administrative, operational and financial support for Projects, spanning Project Management and Finance business lines
Project Coordination:
o Oversees and manages project documentation and coordinates documentation revisions and distributions
o Prepares standard project status reports for project delivery team or work group, Client and management, including project financial forecasts. Other reports may include: status update, budget, schedule and risk
o Processes documentation for project commitments (i.e. Agreements, Contracts, Work Authorizations, Purchase Orders)
o Coordinates and schedules meeting and communication plan(s) regarding projects among team and/or Client. Coordinates and obtains vendor quotations for processing. Coordinates change orders, change directives (CD) and contemplative change notices (CCN) with consultants and vendors. Contract administration, including attending tender openings and recording results, issuing letters of acceptance and regret, updating tender tracking log, setting up tender opening dates and inviting tender participants
o Prepares and reviews invoices and pay applications for processing in accordance with compliance requirements as per established governance of Clients
Systems:
o Function as systems administrator of internet-based project tracking system, project websites and job cost accounting system, including CBRE & Client systems
o Enters project information data (i.e. project status updates, schedule updates, cash flow forecasts) and project documentation into project management technology tools (software applications, web-based tools, job cost accounting tools)
Finance Management:
o Demonstrates general understanding of accounting and financial principles, in order to support financial review of project management related reports and occasional accounting entries.
o Supports Project related accounting functions in both Client and CBRE systems, including invoice [financial] coding, purchase order initiation and management, etc.
o Working under close supervision, conducts and documents simple standard financial analysis and ad hoc finance projects, relating to project management. Aids organization with financial functions, such as forecasting, budgeting, consolidation, cost control, and project control.
o Evaluates and analyzes a variety of financial results and indicators such as capital expenditures, proposals, operating records, financial statements, etc. Recommends actions that may be taken to improve financial results
• Acts as a point of contact for escalated matters among the team
• Prepares correspondence, routine/special Client reports and presentation materials for management review
Our requirements
Advanced English and Polish language knowledge
At least 1-year professional experience in Project Management
University degree is a must
Vendor management experience
Excellent knowledge of excel
Strong analytical skills
Team work skills and problem solving
Ability to work independently
Experience with involvement on complex corporate projects
