We are seeking an Office Administrator / Receptionist to join our Office Management team based in Wrocław. Come be a part of it! The role will give you an opportunity to develop yourself in administration, customer service and accounting area.

YOUR KEY RESPONSIBILITIES:

  • Providing coverage of reception area with a friendly and professional presence, greeting and assisting all visitors
  • Contact with internal & external service providers (technical service, cleaning, landlord, etc.)
  • Maintaining general office equipment and consumables (such as stationery & kitchen equipment), replenish with adequate supplies
  • Assisting in organizing and planning internal meetings and arrange logistics and catering
  • Providing excellent customer service, contributing to a positive and supportive team culture
  • Ensuring completion of paperwork, sign-in and security procedures
  • Maintaining security and safety standards as required. Managing access cards and office keys
  • Managing incoming and outcoming correspondence & deliveries and registration in the correspondence journals
  • Taking part in internal projects & initiatives
  • Close cooperation with Office Manager and support in other office related tasks
  • Collecting and processing of invoices
  • Main contact for vendors regarding invoices & payments
  • Main contact for accounting team regarding Wroclaw office invoices, fixed assets registry etc.
  • Close cooperation with Finance team and support in other accounting related tasks

QUALIFICATIONS:

  • Very good command of English is a must
  • Experience as Receptionist / Office Assistant or similar
  • Bachelor’s degree 
  • Have an excellent attention to detail skillset 
  • High independence at work
  • Have an excellent time management skillset 
  • Have outstanding communication skills; both written and verbal 
  • Microsoft office skills
