Office Manager - Board Assistant

Responsibilities of an Office Manager - Board Assistant:

  • Supporting Management Board in their daily duties, serving as a proactive Assistant, making calls, preparing emails, documents, setting up meetings
  • Responsibility for the circulation and archiving documents in the company; taking care of the sensitive correspondence and documents, making sure document are stored in order
  • Responsibility for the office Administration; building relations and managing settlements with the landlord, cleaners, Internet provider, IT and couriers
  • Looking after the office on an everyday basis and making sure the space is clean and organized, ready and nice to work at, solving office space-related problems
  • Daily check of the office stock, ordering office supplies and refreshments
  • Ordering IT equipment and entrance cards for new employees
  • Organization of the company events
  • Taking care of the positive image of the company externally and internally
  • Close cooperation with HR and finance

Our requirements:

  • Min 2 years of experience in a similar position
  • Fluent in Polish and English (C1 level is a minimum)
  • Perfect organization and independence: ability to manage priorities and multitask - strive for perfection but remain calm and patient while facing obstacles
  • Ability to spot and solve problems quickly and intuitively
  • Great in creating professional, business relationships with others, driven by helping others
  • Very good knowledge of Office 365 tools (Excel, Word, Teams, Outlook),

What you can expect in the recruitment process:

  • Step 1 Analysis of received applications (CVs) - at this stage we will select the CVs which will cover most of the features we indicated in the offer, and then contact selected candidates
  • Step 2 Logical test - until further notice in a remote form, testing competency of analytical thinking
  • Step 3 Recruitment interview with HR person (videocall)
  • Step 4 Recruitment interview with Client Success Manager  (videocall)
  • Step 5  Recruitment interview with the Board  (F2F)
