    We are currently looking for candidates for the position of:

    OFFICE MANAGER
    Miejsce pracy: Kraków

    Overview of the role:

    Office manager will be responsible for the efficient functioning of an office/offices through a range of administrative, financial and managerial tasks.

    Main tasks:

    • Facility management and management of admin function for all offices/locations in Poland
    • Vendor management
    • Cooperation with health and safety specialist/services to ensure health and safety environment in the office and that local laws are met with respect to health and safety requirements in the office/facilities
    • Management of all incoming and outgoing phone calls and correspondence, flow of documents, conference rooms/calendars, taking care of administrative matters
    • Providing organizational support, arrange logistics, including travel arrangements for visitors and employees , booking transport and accommodation and managing per diem process
    • Managing office budgets
    • Liaising with staff, suppliers and clients
    • Support for employees engagement initiatives and employees’ on boarding /exit processes
    • Processing invoices and expenses
    • Performing additional business support
    • Supervising and monitoring the work of administrative staff

    Job Requirements:

    • Relevant seniority and managerial experience along with the adequate administration/facilities management experience in medium size or large organisations in the adequate role/s
    • Fluency in English and Polish
    • Excellent communication skills
    • Ability to work with different stakeholders across different geographies
    • Strong negotiation skills
    • High ability to adapt and work as per directions and targets driven by the organisation
    • Knowledge of respective laws to manage facilities, administration and workplace health and safety regulations
    • Organizational, multitasking and decision-making skills are essential
    • Knowledge of certain computer programs, among others Microsoft Word, PowerPoint, Outlook and Excel
    • Degree in business administration or relevant education
    • Strong attention to quality and details
    • Ability to work in team
    • Project management experience will be an additional asset
