Your responsibilities

  • Managing all of the office payments, basic HR issues and accounting;

  • Preparing monthly cash flow reports;

  • Organizing and maintaining paper and electronic files of various kinds of documents;

  • Providing support to the team, including managing its Google calendar, scheduling and prioritizing appointments;

  • Managing additional projects and operational needs as assigned by the director;

  • Updating and editing various kinds of databases and reporting systems;

  • Cooperating with other AJC offices in Europe and the U.S., as well as external companies/service providers;

  • Taking notes at meetings, drafting letters, reports and other documents;

  • Managing business trips;

  • Taking care of the day-to-day office functioning, including the technical and visual aspect of it;

  • Answering phone calls and greeting guests;

  • Taking care of office supplies.

Our requirements

  • BA or MA in Political Science, Social Studies, International Relations, Journalism, Communications, Management or other related subjects;

  • General knowledge of the 20th century history, transatlantic relations, Middle East, current world politics;

  • Fluency in Polish and English (minimum B2/C1);

  • Very good writing, editing, and proofreading skills;

  • Fluency in MS Word, Excel;

  • 1-2 years of experience in the following areas: office & project management, finance, accounting, HR.

  • Strong natural sense of operations and logistics;

  • Highly developed communication and interpersonal skills, cultural sensitivity and manners;

  • Readiness to travel and occasionally work late and on weekends;

  • Highly motivated self-starter capable of working independently as well as within a team environment;

  • High level of professionalism with the ability to handle sensitive and confidential information;

  • Maturity, situational awareness;

  • Track record of sound judgment by making appropriate decisions and knowing when to take initiative.

  • Additional requirements:

  • speaking one of the following languages would be a great advantage: Czech, Estonian, Latvian, Lithuanian, Russian, Slovak, Hebrew;
