Your responsibilities

  • Deliver a safe, secure and inclusive work environment by providing excellent standards of workplace accommodation, security and high-level services for all staff and guests.
  • Own the complete local Workplace experience including floorplans and space types as part of our SMART working programing ensuring reception, catering, maintenance, mail and other support services are providing colleagues and clients with suitable spaces.
  • Accountable for all local Workplace communications and activity overseeing a small local team, engage with local leaders and colleagues regularly to encourage a strong working relationship and outstanding customer satisfaction.
  • Assist the Operations Director – Workplace ESS with strategic initiatives contributing to mid and long term planning. Work with the global Real Estate team on centrally governed programs and the future of the Workplace.
  • Local management of contracts in partnership with Procurement to appoint and maintain excellent arrangements with third party suppliers. Regularly report again SLAs and KPIs and act as escalation point for any critical issues.
  • Work with a global Real Estate team contributing to strategy and future requirements to ensure first class accommodation and working arrangements for our colleagues and clients.
  • Work in partnership with multiple functions including Global Technology, Operational Risk, Business Continuity to complete operational tasks.
  • Assist in developing Workplace operating and project budgets for the site, budgetary management inclusive of quarterly accruals, review and reduction in expenditure to meet targets set by the business.
  • Establish and maintain vendor agreements working with procurement partners to ensure value for the business, advising on contractual terms, setting SLA and KPI’s to manage performance.
  • Communicate effectively with key stakeholders throughout the business ensuring transparency of workload, reducing expenditure, avoiding risk and proposing innovative and exciting ways to improve facilities.
  • Management of the Health and safety processes and procedures (Inclusive of security and business continuity management) in partnership with the local Health & Safety Specialist and the global function dedicated to Security, Health & Safety to ensure the wellbeing of staff at local level, meeting regulatory compliance targets and adhering to standards within the office.
  • Local liaison for projection site, contributing to planning and engagement of contract service providers to help execute works to meet the agreed timeframe for delivery
  • Preparation of reports, providing updates on site activity, projects, budgets and progress made on initiatives to enhance the workplace environment or produce savings in line with stretch targets
  • Being available to work out of hours from time to time when major building works and/or sensitive moves and changes are taking place to ensure the needs of the business are protected.

Our requirements

  • Extensive experience in working in fast paced engaging environments with multiple stakeholders.
  • Track record providing excellent workspace management.
  • Experience of implementing and maintaining Health & Safety targets in line with local legislation and in partnership with other Workplace leaders.
  • Excellent communication and negotiation skills to achieve buy-in from key stakeholders and effective vendor management
  • Well organized with a meticulous attention to detail, organizational skills, time management, prioritizing and the ability to handle a complex, varied workload
  • Prompt and punctual, immaculately groomed with a confident, professional manner
  • Flexible in approach whilst working to exceptional high standards
  • Fluent in English
  • Analytical and problem-solving skills
  • Involvement in Workplace projects including CSR, Flexible and home working initiatives, digital services, Health & Safety, Security amongst others.
  • Experience of MS Office and a good knowledge of diverse IT packages including Real Estate Software.
