Responsible for preparation of regular and ad hoc reports, documents specific for the activity of General Manager and his team based on internal data, external information and information provided by Senior Managers
Ensuring timely and accurate support in developing and implementing GM's projects, monitoring steps of action, controlling dead-lines, centralizing data and information, protecting communication flow between the persons involved in the project
Responsible for making Power Point presentations for the General Manager
Preparing and sending internal and external letters in accordance with the given guidelines; Preparing documents for the internal (local and regional) communication
Responsible for the right relation building and the proper communication flow between JTI Poland office and other offices, HQ and Region
Ensuring efficient communication between the GM and the other departments of the Company, in all aspects of it
Responsible for administrating of GMs’ outlook calendar and task list in line with instructions (monitoring, tracking and recording of task list communicated by GM to the reporting teams; organization of internal and external GM meetings)
Ensuring administration of General Management expenses together with the finance department (monitoring of the expenses of the company credit card and tracking proper costs allocation into cost centres; making PR for all the acquisitions of products and services dedicated to / connected with GM and follow up on internal documents flow)
Experience of 1-2 years in a similar position (in a FMCG multinational company would be an asset)
Good communication, organisation skills and multitasking
Confident PC user - MS Office & SAP

What this position is about - Purpose
As a Personal Assistant you will be responsible for supporting and helping the General Manager in day to day activities. You will be engaged in preparation of variety of documents, reports according to the General Manager needs, and ensuring that all administrative support is provided on the timely manner. Professional communication between the General Manager and other Managers and Employees of the Company as well as other external companies/ parties is another crucial point.
