Your responsibilities

  • Roadmap Planning - support PMO Portfolio Teams to coordinate all Roadmap planning cycles. Ensure all submissions documented and tracked through initiation, assessment and approval phases

  • Monitoring and reporting – Develop project performance reports. Support the PMO in the business reporting cycle - provide comprehensive status of all active projects demonstrating project delivery performance and value add

  • Product Owner for PMO Project Management software & tools (Asana / Jira / SharePoint / Teams…) collaborating with global PMO & IT on adoption and improvements. Support PMO to leverage the tools effectively and in compliance with SOP’s

  • Planning and scheduling – Ensure systems are in place to enable effective planning and scheduling of business Roadmap deliverables - annual program and project delivery plan

  • Release Management including / Command Centre & Deployment Support - Support PM's in planning and operation of go-live support structures and business wide communication of all deployments

  • Administration – Ensure Organisational tasks are carried out efficiently. Support with department duties including minute taking and project support. Own on-going calendar of PMO activities to support efficient departmental coordination - weekly/monthly/quarterly meetings & reviews

  • Document Control - Oversee and monitor consistent document management standards across PMO activities aligned with the QMS. Own the directory for document management. Assist the PMO with writing documentation and reports and preparing procedure and guidance documentation. Document and maintain all SOP's for PM processes in line with QMS requirements

  • Continuous Improvement - Apply Continuous Improvement principles, tools, and techniques to working practices to improve efficiency. Consolidate Lessons Learned & Gap Analysis to deliver program of CI's across PMO activities. Contribute ideas and views to strengthen ongoing business and operational success

  • General - Proactively participate in team efforts to achieve departmental and company goals

  • Create and manage CE Comms calendar

  • Manage setup and maintenance of CE comms channels (website/hub, newsletter, blog, video channels, official PowerPoint)

  • Pro-active and reactive content creation for above comms channels (copywriting, basic design and Photoshopping)

  • Manage third party content creation (videos, animations, advanced design and Photoshopping)

  • Co-create email templates with CE Leadership (i.e., crisis email, launch email, etc.)

Our requirements

  • Bachelor’s degree

  • 5+ years of experience, including 2+ years’ experience within PMO function and 2+ years’ experience within product / software development business

  • PMO or Project Administration experience of successfully supporting projects and working with multi-disciplinary teams to deliver results

  • Excellent planning & organising skills - Demonstrate application in commercial environment

  • Experience of organising teams, establishing processes, and working to deadlines.

  • Highly competent in use of Project Management Tools (e.g., Asana / Jira) & Microsoft Office tools (e.g., SharePoint, Teams)

  • Business reporting experience - Develop reporting tools and structures

  • Business level English - Written & spoken

  • Excellent interpersonal skills, including the ability to cooperate with stakeholders at all levels of the business

  • Practical visual design skills – using brand guidelines, setting up email templates, creating infographics and compelling PowerPoints, etc.

  • Curiosity – able to pro-actively stay in touch with CE team members and tell their story as it happens


  • Demonstrate understanding of various PM methodologies - e.g., Prince2 / Agile / Scrum / Stage Gate

  • Application of Lean principles on administrative / commercial environment

  • Demonstrate use of project management tracking tools / software

  • Experienced at working in co-located and virtual teams

  • Excellent report/minutes writing skills

  • Experience of using and administering JIRA.
