Your responsibilities

  • You will be based in our Poznan office. You will spend your time as a member of the small central team in the Practice Management Function (PMF), a group of around 400 practice management professionals globally that work for one of the 18 client capability cells or in the Practice Management Surge Pool. The responsibilities of the central team include direction setting and guidance for the function, driving process standardization and improvements, guiding and evolving the people value proposition, talent strategy and professional development, as well as performance and operational management. The central team consists of four people, a director, two managers, and a specialist. Three team members are located in Europe, one is located in the USA.

  • You will work closely with the specialist, managers, and director in the central team and support a range of operational topics. The exact portfolio of responsibilities depends on the strategic priorities for the PMF, but will include the following.

  • You'll support collaboration and community building across the PMF. You will track new hires, welcome new colleagues, and ensure timely updates of PMF distribution lists, Box folders and Slack channels. You may also help with PMF meetings and local connectivity formats.

  • You will support daily operations of the PMF including maintenance and update of the PMF people database which is crucial for all our activities. Additionally, you will provide ad-hoc people analysis as required by the PMF team.

  • You will work closely with one of the managers of the team on redesigning the PMF practice space and take full ownership of keeping the sites up to date, as well as staying connected to the Spaces team to drive the adoption of new features and content. You will support the PMF evaluation process.

  • In close collaboration with the specialist in our team you will drive the preparation and execution of our centralized evaluation process, e.g., developing handbooks and supporting our committee chairs during preparation of the meetings and with communication. You will track our nWoW Initiatives and supporting PMF Capability Building: Best practice codification and dissemination as well as process standardization and automation are key mandates for the PMF.

  • You will support one of the managers in the team in tracking the ongoing nWoW initiatives, and in ensuring that the results are codified and shared as learning materials, e.g. by updating our learning catalogue, Practice Space, supporting creation of learning modules (e.g., short videos, Brainark). You will work closely with one of the managers on adding and managing the PMF learning content on LearnNow, incl. reviewing outdated content and updating the page with new content, working with the Firm Learning Design team to ensure latest and most effective learning formats and presentation.

  • You will support the overall PMF capability building effort, by independently running the logistics workstream for various PMF learning formats with little guidance from the manager, e.g. PMF Learning Day, PMF Learning challenge, etc., incl. working with external vendors (e.g., infinity website provider). As time allows, you may also be asked to drive a workstream in one of our special projects.

Our requirements

  • University degree preferred

  • 3+ years administrative experience, preferably in a related function

  • Advanced knowledge of MS Office programs; experience with firm systems

  • Excellent interpersonal skills, emerging gravitas when working with senior stakeholders (leaders and directors)

  • Excellent English communication skills, ability to phrase messages in a diplomatic way

  • Superior (self-)organizational skills with strong sense of ownership, fast response times, and attention to detail

  • Ability to multi-task and perform also under occasional time pressure, tolerance for ambiguity and change

  • Ability to form and share an own opinion, but intuition when to involve leadership to avoid conflicts

  • A non-hierarchical approach; the flexibility and ability to build consensus
