    Process Compliancy and Tender Specialist
    Location: Gdańsk

    As a Process Compliancy and Tender Specialist you will be part of the EU/BU Commercial Team reporting to the Tender Manager / Commercial Manager. You are owning from a coordination point of view the end-to-end bid and tender process and be responsible for developing winning bids by effective coordination of all operational and commercial stakeholders, writing successful narratives and responding to customer questions .You will create timely high quality customer physical contracts that accurately reflect both the customer requirements and the agreed decisions of the business. You are the counterpart of sales, ensuring delivery of the best tender quality Staples can offer to the customer and ensuring compliance to the EU Common Operating Model.

    Key responsibilities include:

    • Compliance with all EU Common Operating Model processes
    • Coordinate all stakeholders and ensure timelines are met
    • Review and make sure that the right level of input-quality from all stakeholders is delivered
    • Delivering timely and high quality impactful tenders and re-tenders that increase new business win rates, deliver BU margin requirements, and drive retention.
    • High quality customer contracts
    • Liaise with key stakeholders within the business to ensure high quality tender responses
    • Providing a centre of excellence for the creation of (Public) tenders.


    • Process compliance monitoring – 65%
    • Support of Staples Sales Team in tender/RFQ pre-qualification process
    • Qualification of incoming opportunities and participation in the go/no-go decisions as a pre-requisite to initiate the tender process, contributing to the definition of the tender strategy
    • Process compliance verification of all aspects of the Staples Offer, including CRM system inputs, including the quality of data
    • Managing the tender process from the Commercial perspective, ensuring delivery of contributors’ inputs in order to respond to tender on time; involvement of all relevant parties in the process
    • Ensuring adherence to the approval processes
    • Work closely with Sales, Account Management, local and central Commercial Teams, Process Development, Legal Team, as well as Staples partners
    • Verify the level of adherence to the processes and report periodically
    • Provide feedback and ideas to improve the processes surrounding the Commercial team
    • Provide trainings in relation to the process compliance and the new way of working

    Proposal preparation – 35%

    • Participate in kick-off calls and ensure compliance with all EU Common Operating Model processes
    • Deliver high quality tender and re-tender related customer-facing communication to increase business win rate and drive retention
    • Liaise with key stakeholders within the business, Staples entities globally and key business partners to ensure high quality tender responses
    • Evaluate, plan, prioritize and quality check all proposed narratives
    • Regularly review of all tender narrative to ensure all information is up to date and curren
    • Liaise with operational stakeholders to capture activities which will change the operational capability
    • Maintain a library of information for use in the tender process

    Knowledge, skills & experience

    Education and Experience:

    • Strong business and commercial acumen
    • Process and Project Management skills
    • Proven aptitude for written and verbal communication
    • Marketing, Business Procurement or BU language qualification desirable
    • Advanced Microsoft Office knowledge essential
    • Highly organised, with ability to manage tight deadlines and excellent attention to detail
    • Ability to work under pressure
    • Ability to create innovative, creative, and aesthetically pleasing tender responses
    • Strong stakeholder management skills on all hierarchy levels
