Your responsibilities

  • Build and maintain a fluent relationship with internal customers, understanding their needs and working together to identify operating issues/non-efficiencies, implementing sustainable solutions and ensuring changes are timely documented in relevant Standard Operating Procedures (SOPs).

  • Understand internal customer’s organization/structure and interact with the appropriate contacts for each process.

  • Responsible for properly handing over the activity to designated persons within the team as needed.

  • Perform activities as per the relevant SOPs in place (process, tools and timing) driving for meeting/exceeding KPIs relevant to the role.

  • Purchase Requisition (PR) to Purchase Order (PO) Conversion including (but not limited to):

  • Perform comprehensive accuracy and compliance checks of PRs;

  • Ensure PRs are complete and accurate before conversion to POs;

  • Release purchase orders (PO) within agreed timeline;

  • Log-in and follow-up PRs that could not be converted to POs and released within agreed timeline with indication of reason.

  • Management System:

  • Lead catch-ups with a set pre-agreed frequency (weekly, every other week) and agenda with internal customers.

  • Prepare relevant reports (minimum but not limited to "PO Confirmation" and "Not delivered on time POs") to be shared during catch-ups with internal customers (requisitioners, procurement, other when relevant);

  • Issue resolution:

  • Lead timely identification and resolution of PO approval related matters;

  • Engage in invoice issues related to lack of goods receipt and invoice price discrepancies with PO, reaching out to the relevant parties to provide a timely resolution to the issue;

  • HelpDesk:

  • Point of contact for internal customers with regards to transactional related queries.

  • Continuous improvement:

  • Contribute to testing of process improvement opportunities.

  • Contribute to testing of new tools as per K-C's technology roadmap.

Our requirements

  • University Graduate;

  • 0-2 years previous experience;

  • Good analytical mindset to follow logical flow of activities;

  • Basic Microsoft Office (especially Excel);

  • Minimum of B2 (preferred C1) level language proficiency in English

  • Good general communication skills (written and verbal);

  • Proactiveness, positive attitude, flexible mindset and a willingness to learn; good team player and quick learner.
