Your responsibilities

  • Providing full front desk support to guests, internal and external guests, mail/couriers, post

  • Providing advanced and varying administrative support to colleagues and guests

  • Managing internal record systems, inventory of supplies, equipment, and furniture, reservations

  • Creating and updating all documentation using Word, Excel, SharePoint, and other programs

  • Assisting in organizing and planning internal meetings and arranging logistics and catering

  • Assisting in organizing various events for the Company

  • Supporting in setting up multimedia facilities in conference rooms

  • Preparing and distributing guides, bulletins and newsletters, office seating maps, and other required documentation

  • Contacting external suppliers and vendors

  • Ordering and managing office supplies

  • Keeping office area clean and organized and coordinating cleaning staff and other external services

Our requirements

  • Have a minimum of 1+ years of experience in a reception / administrative /customer service position in an international environment

  • Have very strong attention to detail with a strong emphasis on office cleanliness

  • Have very good organizational skills and the ability to work simultaneously on several tasks

  • Are goal-oriented, full of engagement, and energy

  • Are experienced in MS Office (Outlook, Teams, Excel)

  • Are excellent in English, both written and spoken

  • Are a team player yet able to work independently

  • Have excellent communication & relationship building skills
