Your responsibilities

1) Welcome and orientate visitors within the Protection Hub

Is present at the reception desk to welcome any visitors to the Protection Hub.

Based on their needs, orientate the persons or the family to the appropriate space and staff: social worker, psychologist, child friendly space, etc.

Support the internal referral mechanism by ensuring that beneficiaries are accompanied between one actor and the other.

Make sure that beneficiaries are not leaving the site without receiving all the requested assistance.

Inform the Protection Hub leader of any incident that occurs at the entrance or in front of the Protection Hub

2) Is in charge of the Protection Hub telephone switchboard

Within working hours, receive phone calls of individuals for basic information about services available at the Protection Hub, opening hours, access, etc.

Liaise with the different staff working within the Protection Hub to gather all needed information to address the needs of the individuals calling the telephone switchboard.

3) Report data

Is in charge of filling a registration notebook logging all entries and exit of visitors with the purpose of their visit.

4) Participate in meetings and trainings

Debrief weekly with the Protection Hub leader

Attend Protection Hub internal team meetings as requested by the Protection Hub leader

Participate in training courses organized by the project team and/or the other partners.

Our requirements

  • University diploma in social work or administration (Bachelor degree)

  • At least 1 year of work experience

  • Sense of confidentiality – Good knowledge of basic counselling – Experience of team organization, coaching and mentoring – Experience in the collection, treatment and management of data related to the program

  • Ukrainian

  • English

  • Microsoft Office (Excel, Powerpoint, Word)

Optional

  • Experience with an NGO / association

  • Sensitivity and empathy – Rigour –Proactivity – Ability and willingness to take initiatives – Hard worker – Capacity to work with and without supervision – Self-organization skills – Good leadership in order to motivate and lead the team – Time management skills

Overall purpose

The Receptionist of the Protection Hub is in charge of welcoming any individuals or families visiting the center. The Receptionist is in charge of orientating them to the appropriate staff depending on their needs.

Applications of Ukrainian Refugees are encouraged.

This job description may be subject to modifications in the future, depending on the evolution of the activities. These modifications will then be defined and discussed between the employee and Première Urgence Internationale.

In general, the employee will take all necessary actions for the correct development of Première Urgence Internationale activities in KRI in the limit of its tasks and responsibilities and of legal conditions of the work legislation.

Premiere Urgence Internationale

Première Urgence Internationale (PUI) is a non-governmental, non-profit, non-political and non-religious international aid organization. Our teams are committed to supporting civilians’ victims of marginalization and exclusion, or hit by natural disasters, wars and economic collapses, by answering their fundamental needs. Our aim is to provide emergency relief to uprooted people in order to help them recover their dignity and regain self-sufficiency. The association leads in average 200 projects by year in the following sectors of intervention: protection, MHPSS, food security, health, nutrition, construction and rehabilitation of infrastructures, water, sanitation, hygiene and economic recovery. PUI is providing assistance to around 7 million people in 21 countries – in Africa, Asia, Middle East, Eastern Europe and France.

Following the outbreak of the Russian military operation on the night of February 24 and the fleeing of refugees, PUI decided to open a mission in Poland. The first emergency team arrived early March in Przemysl to assess the needs there. Nowadays, in partnership with the UNHCR, PUI is implementing blue dots in several locations around Przemysl, in Warsaw and Krakow. In these blue dots, our teams, composed of social workers and psychologists, are providing psychosocial support and information about available services. In Przemysl, our team are also providing these services in collective shelters where refugees are hosted.

In addition, and still in partnership with UNHCR, PUI is opening a Protection Hub in Rzeszow. This community day centre will focus in offering protection services and psychosocial support to the refugee community of the town.
