Your responsibilities

  • Greeting guests, visitors and accompanying them to the meeting place

  • Answering, directing, relaying telephone and fax messages, connecting to conference calls

  • Processing new appointments or changes in appointments

  • Organizing catering for guests and pre-ordered meetings (preparing calculation, cooperating with suppliers)

  • Accurate and timely preparation of correspondence and documents (internal, external). Distributing, and preparing to dispatch an internal post

  • Coordinating Courier’s tasks

  • Photocopying, printing, and brochuring of documents

  • Adding invoices to the system

  • Maintaining an adequate inventory of office supplies

  • Providing guidance to trainee secretaries when required to do so

  • Assisting the TOP management in meeting сonducting

  • Carrying out other functions, if any, required of the Company Secretary

Our requirements

  • Excellent word-processing and digital dictation skills

  • The high degree of efficiency, accuracy and organization in carrying out tasks

  • Well-developed skills in the Microsoft Office suite of programs

  • Strong organizational and time management skills

  • High standard of interpersonal and communication skills, especially in the context of client care

  • Attention to detail

  • Pleasant and positive manner in dealing with colleagues and clients

  • Flexibility and willingness to provide support as required to all employees and staff within the office

  • Intermediate English level
