Sales Process Support Specialist

Your responsibilities

  • Smooth running of the office (orders flow, supplies and equipment, office rental contract supervision, documents flow (tender contracts, offers, agreements with consultants) to and from Sales and between VE departments

  • Managing incoming customer orders (systems, options and upgrades), overseeing and coordinating the process to complete and correct the order information until the order is ready to be booked.

  • Pro-active collaboration with Sales, Education, Clinical, Technical Support, Customer Service, Legal and Marketing groups

  • Ensure that all parts of a customer orders (from factories and 3rd party suppliers) are correctly listed on the order

  • Collect missing information from the specialists in the sales organization

  • Pro-actively communicate to customers internal in a clear and customer-centric way

  • Pro-actively providing support in resolving problems, escalating if required to the responsible manager

  • Ensure timely hand-over of the cases to order management according to the agreed policy

  • Create and maintain a total overview of all tenders.

  • Ensure correct and up-to-date quality documentation and coordinate timely alignment on tender-related issues with internal and external stakeholders.

  • Coordinate and prepare quotes in a dedicated tool.

Our requirements

  • 2 years of professional experience in processing orders, ideally in medical devices environment

  • Fluent English is a must (both verbal and written)

  • Computer literacy essential and experience in MS office applications

  • Ability to inspire commitment, communicate and influence virtually

  • Strong influencing skills; convincing power

  • Very good communication skills and customer attitude

  • Self-driven and pro-active, able to work independently in a virtual environment

  • Developed analytical thinking skills with an eye for detail
