Sales Support Associate
Location: Poznań

The France-Benelux Sales Operations team was created in January 2018 to regroup sales support and internal sales activities for the 4 countries – France, Belgium, the Netherlands, Luxembourg – meaning in high level summary, all distribution efforts that are not handled directly by the external sales team or the marketing and communication team.

Our clients are all professional investors (fund buyers, fund sellers, asset owners, gatekeepers and investment consultants). The team services our existing clients to maintain Assets Under Management through understanding their needs and ensuring we are meeting these.

Working with us, you will be responsible for:

Client Service for France and Benelux clients

  • Support clients by understanding client needs and managing service delivery expectations
  • Act as the clients’ point of contact for operational and administrative client questions, navigate the organization to ensure all client enquiries are answered in an accurate, timely and complete manner
  • Respond to simple email inquiries from clients about our firm and products
  • Share responsibility with other team members of ensuring ongoing client reporting tasks are done in a timely and accurate manner
  • Follow client investment orders and liaise with Transfer Agency to clarify issues when needed
  • Coordinate the Institutional DDQ process when needed, to ensure timely and accurate completion of standard DDQs for existing clients
  • Act as the clients' advocate in interactions with other internal business units

Operational Support for France and Benelux sales and marketing teams

  • Maintain up-to-date, accurate client information and logs of client contacts in the company’s CRM tool
  • Keep up-to-date records of distribution agreements and other legal documentation, in collaboration with Legal department
  • Fulfil sales compliance duties in relation to client reporting (e.g. maintain log of necessary client related expenses with regards to anti-bribery policies)
  • Support the France & Benelux management team on administrative and reporting tasks (track sales activity and results, update reports of sales opportunities, provide support for management reports)
  • Lead and participate in France & Benelux Business Administration project work as required: examples include CRM related projects, internal procedures and training review, regulatory change projects

We are looking for candidates who:

  • Have knowledge and experience of financial industry sales or services: 2 years’ experience in an operations, client reporting or transfer agency environment preferred but not essential
  • Have degree level education or relevant industry experience
  • Are fluent in English and French required, any other European language a plus
  • Are proficient in Word, Excel, PowerPoint
  • Possess excellent written and oral communication skills
  • Are results oriented, flexibility and adaptability
  • Possess customer focus, assertiveness
  • Possess strong attention to detail, good analytical skills
  • Have ability to establish and maintain cooperative, cross functional working relationships with colleagues in various locations
  • Have ability to respond to established time frames and schedules; ability to work under pressure and organize and prioritize workflow
  • Have ability to perform multiple tasks in a fast-paced, team environment
  • Have ability to maintain updated knowledge of procedures, products and activities of assigned area
