Your responsibilities

  • The Senior PMO Analyst is a key role on the IT Portfolio team within the IT Delivery Center of Excellence (CoE), providing support for IT Projects / Portfolio processes, tools, and metrics with the opportunity to manage some key processes and drive continuous improvement initiatives within the IT Delivery CoE.

  • Lead monthly ISIT Monthly Business Review (MBR) and Capital Approval Committee (CAC) preparation process. Accountable to ensure ISIT MBR/CAC materials and milestones are completed on time and with quality by roadmap managers, project managers, and IT delivery leads.

  • Define and communicate the monthly ISIT MBR/CAC calendar to ensure all key stakeholders within IT are aligned to key milestone dates.

  • Consolidate and coordinate completion of monthly financials of ISIT portfolio of capital projects for ISIT CAC presentation

  • Schedule and facilitate monthly ISIT CAC pre-read session with CIO to review and collect feedback on draft ISIT CAC materials. Capture notes and oversee completion of action items as outcome of pre-read.

  • Configure and administer IT Delivery/Project Management tools including (but not limited to) Daptiv and Azure DevOps.

  • Define role-based access structure to align with overall Portfolio and Project Strategy

  • Administer access to tools for users. Build and configure project workspaces as needed by users

  • Build new and extend existing reports for IT leadership and project leaders, as required

  • Support and/or lead training sessions for users on process updates and tool configuration changes

  • Seek continuous improvement opportunities to optimize and streamline use of tools for better user experience and quality of data within

  • Develop centralized catalog for collecting ISIT project benefit data

  • Capture benefits and KPIs identified as part of Business Cases into above repository

  • Work with Roadmap Managers, Project Managers, Delivery Leads or other key IT resources to collect realized benefit data delivered based on identified measurement start dates

  • Develop monthly reporting for Leadership to demonstrate delivered benefits against projected benefits. Work closely with key IT resources to collect narrative information relating to delivered benefits.

  • Support project financial management (cost tracking/checking with Finance team, PO requisitions, invoices form vendors, personnel time tracking)

  • Coordinate, prepare, and support SteerCo and Project Leadership meetings (scheduling meeting, preparing the deck with PM’s and OCM Leads, taking minutes, etc.)

  • Collect, track, and follow up on project issues, risks, decisions, and action items, as needed

  • Ensure status updates in PM tools and other documents

  • Update project plan / product backlog following updates from project team and monitor progress as a support for Project Managers

  • Other administrative/coordination activities that will be determined with Roadmap / Project Manager as project progresses

Our requirements

  • University degree

  • Previous portfolio and/or project support experience a plus

  • Previous experience configuring and administering PM tools: Daptiv and/or Azure DevOps tools is a plus but not required. Strong willingness to learn quickly is a must

  • Fluent English is a must

  • Self-starter with sense of urgency

  • Strong Excel and PowerPoint is a must (subject to be checked)

  • Understanding of financial acumen (CapEx, OpEx, forecast, actuals, etc.)

  • Process Improvement experience strongly desired

  • Technical attitude with self-learning ability on new tools and software

  • Strong analytical and process oriented skills

  • Excellent Communication skills

  • Excellent analytical and problem-solving skills

  • Pro-activeness in taking in new tasks and solving challenges
