Department Overview
Job Description
Main responsibilities:
- Lead export operations logistics team.
- Ensure accurate preparation of all international export documentation, customs declarations and other supporting documentation.
- Ensure that all regulatory requirements are met to ensure compliance for EU Trade & Customs.
- Maintain and update HTS code listings along with ECCN’s.
- Screen denied parties and products, monitor exports, and verify shipments are properly prepared in accordance with the export license to embargoed nations.
- Maintain appropriate recordkeeping and due diligence in accordance with all governing regulatory requirements.
- Conduct team meetings/briefings with tracking of monthly metrics and deliverables.
- Communicate with supply chain managers, business operations, and customer service, all pertinent logistics issues that may impact business needs.
- Monitor freight costs and report on freight reductions, recommend cost savings initiatives and measure performance using formal metrics.
- Maintain positive relations and regular communication with regional managers and international support specialists.
- Assist in strategic global logistics initiatives.
Client Customer Service:
- Responsible for client interfacing via both phone and electronic correspondence such as email for compliance-related issues on import and export procedures.
- Responsible for quoting of consignments.
- Responsible for communication with the client on consignment status for all state changes of shipments including issues.
- Responsible for checking against all known shippers, and denied parties list and obtaining all related documentation.
- Responsible to adhere to escalation procedure if there is a deviation from SLA and/or Standard Operating Procedures
- Follow all relevant Standard Operating Procedures, client protocols, and quality criteria in accordance with good manufacturing practices in all areas of responsibility.
- Works within the team to provide quotes to the customer in accordance with 3rd party logistics providers, quoting process and according to the customer’s expectations
- Responsible to ensure dangerous goods consignments are inspected and handled per IATA/ICAO instructions.
- Responsible for monitoring the P & L of consignments.
Transportation:
- Daily professional communication and positive working relationships with logistics providers.
- Management of export/import orders & shipments - Road, Rail, LTL, FCL, LCL, FCL, Air.
- Process shipping orders considering all necessary factors such as point of pickup, the port of origin, container size, temperature, point of destination, order cube/weight, cycle time.
- Coordinate and manage transportation bookings (ocean/road/air) per company guidelines
- Manage product and logistics suppliers to fulfill customer supply chain needs.
- Process all inquiries in a timely and professional manner from customers, vendors, transportation companies, ocean carriers, air forwarders.
- Requesting and reviewing import/export documentation including invoices, packing lists, managing certificates, while simultaneously ensuring compliance for export shipping and meeting deadlines.
- Effectively resolve problems by utilizing internal and external resources and by determining the best course of action
Documentation:
- Responsible for preparation of customs declarations
- Responsible for creation of consignments documentation including but not limited to: master air bill, house air bill, shipping manifest, labels, pickup alerts, bill of ladings, certificate of origins, dispatch letter, flight details, and enhanced security forms.
- Responsible for creation of pre-alert documentation for consignments
- Responsible for sending various documents that pertain to each shipment to appropriate parties and customers.
- Responsible for creating and submitting reports on a deadline, based on shipment data, including, volume, metrics, and accounts.
- Responsible to send the brokers all documents for import shipment and confirm receipt of documents.
Basic Requirements
- Minimum of 5 years of experience in global logistics and import/export compliance.
- Ability to work under pressure in fast decision makirequired enviroment.
- Strong leadership qualities and people management experience and have previous experience of managing teams of at least 4 people.
- Fluent English language skills.
- Knowledgeable in trade compliance regulations.
- Experienced with Export Control Classification Number (ECCN) and Harmonized Tariff Schedule (HTS).
- Working knowledge of shipping systems and automated tools.
- Freight forwarding, brokerage, foreign distribution, compliance skills.
- Working knowledge of Word and Excel
- Knowledge of the airline and ocean industry and routing
- Courier / transportation experience
