About the project

WPB offers a range of services, including personal banking, mortgages, loans, credit cards, savings and investments and insurance. Within WPB there are 6 global business functions, with 1.2bn AOP.

The WPB Vendor Management Specialist would work with CIO and Business Managers, Finance Managers, PPM team, Procurement team, Group IT Cost Management team and IT Heads to ensure a consistent and effective approach to managing the following:

• Work with Service line mangers and BM for running cost board every week

• Responsible for reviewing all request submitted to cost board from commercial review and supplier type

• Contract Management and commercial management of supplier contracts

• Manage and review supplier contracts for measuring service credits and ensure adherence to KPI’s are met by supplier

• Review of SOW and providing commercial and operational observation

• Creatively apply business and technical knowledge to enable, support and review all aspects of third party spends

• Develop and maintain communication at all levels across the organization to facilitate smooth and effective running of cost board operation and outcomes for WPB. Leading the Budget planning and forecasting process to Target, including challenging unrealistic forecasts;

• Interface with the Business Manager, Finance Manager and Delivery heads in putting together third party demand;

• Run third party risk management forum for WPB;

• Ensure 100 % compliance of all Third Party Risk Management policy for all suppliers used by WPB IT

• Run vendor governance and performance management forum for all strategic and high critical vendors of WPB IT

• Run SCO initiative for WPB with central SCO team of IT

• Develop demand management of third party across WPB IT

• Create contracts calendar and renewal process for WPB IT

• Interface with WPB Delivery organization and Architects for third party spend management

• Work with CIO for third party demand, spend and planning

To be able to provide this level of service the successful candidate will be well organized, disciplined, and be able to work with all senior stakeholders from WPB IT (CIO and COO), have exceptional attention to detail, negotiation skills, influencing skills and be able to follow tasks through to completion. The primary purpose of the WPB Vendor Management Specialist is to govern all third party IT spend for WPB IT including managing and continuously improving the Cost Management processes. This role will include working with the COOs and supporting teams to optimize IT’s utilization of third-party hardware, software, resources, and associated IT services (including non-permanent workforce) to maximize value and cost savings to HSBC.

Your responsibilities

  • Achieving excellence. Focuses on medium and long term goals even when under pressure or facing uncertainty. Manages expectations, results and impact of agreed outcomes, thinking ahead to identify and overcome potential issues, benefiting from a good network of Senior Managers to collectively identify and mitigate risk.

  • Contracts Management – accountable for ensuring that contracts are renewed in a timely manner including approval via cost management processes and sign-offs / stakeholder management

  • Management Information – support creation of MI against contract database and third party spend

  • The role holder will work collaboratively with Senior Managers from other areas in IT to ensure stakeholder and customers’ requirements are met.

  • Customer/Stakeholder focus. Proactively seek opportunities to improve business operation in collaboration within assigned function area and Procurement amongst others.

  • Strengthening stakeholder relationships. Build trusting relationships to influence decisions and ensure stakeholder advocacy, using organisational knowledge aligned to business goals and strategies.

  • Deliver fair outcomes for our customers and ensure own conduct maintains the orderly and transparent operation of financial markets.

  • Collaborate with managers to deliver IT contract management and commercial awareness solutions and support to technology teams.

  • Managing. Gathers all relevant information from a wide range of resources and MI to clarify the issue at hand and to better inform the decision making process. Support in establishing methods and criteria to observe progress and achieve excellence in all aspects of delivery to meet our customers’ requirements. Establishes effective relationships across the business structure/matrix to ensure better engagement and better quality and effectiveness of deployment.

  • Collaboration. Builds rapport and mutual understanding to communicate and create opportunities for cross-business and/or international working, encouraging debate and open discussion. Build sustainable relationships beyond transactional levels and use empathy and insight to build better understanding of mutual benefits.

  • Work with technical teams, procurement and suppliers in advance of renewals and required purchases to optimise volumes, challenge requirements and achieve best price for the organisation.

  • Business case & benefits realisation. Defines and articulates to stakeholders the targeted benefits for a change intervention. Demonstrates effective financial skills to develop a detailed business case, including investments, detailed benefits (financial, non-financial and strategic) and link to overall finances of the business.

Our requirements

  • Typically educated to undergraduate degree level, master’s degree preferred.

  • Experience and proven track record in vendor, cost and commercial management including cost reduction / optimisation programmes

  • Expert knowledge on IT Infrastructure technical platforms / technologies, execution of IT vendor management policies

  • Good understanding of the IT global delivery model and future roadmap

  • Ability to work in a multi geography, culturally diverse and time-zone separated management role

  • Good communications skills and ability to communicate at all levels of the organisation

  • Analytical with the ability to understand and resolve problems
