Your responsibilities

  • Managing the team’s Book of Work and providing POMO management with visibility of current and upcoming deliverables to enable appropriate prioritisation and efficient assignment of work within the team.

  • Maintenance of the process documentation e.g. team’s contact lists, templates, spreadsheets, tracking sheets, presentations.

  • Support the team in quality checking of procedure drafts in line with agreed procedure structure, content and style principles (including Acrolinx checks for documents).

  • Sense-checking and escalating identified inconsistencies in procedure drafts to the Procedure Writer.

  • Responsible for the administration of POMO change log, ensuring that changes are properly logged, tracked and actioned by POMO team within agreed timeframe

  • Monitoring and supporting execution of procedure implementation plans by team members

  • Supporting team members in scheduling of meetings with stakeholders.

  • Responsible for accurate minutes taking and distribution following meetings.

  • Management of the POMO team mailbox, ensuring emails are addressed in a timely manner

  • Supporting the team in business management activities

  • Supporting coordination of data gathering and analysis for MI reporting

  • Understand, follow and demonstrate compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business in which you are involved, specifically Internal Controls and any Compliance policy including, inter alia, the Group Compliance policy.

About the project

The Procedure Oversight & Management Office (POMO) provides a globally consistent framework and structure to support the Wholesale Global Procedures and the ongoing maintenance of global policies and procedures as they relate to GB & CMB Businesses.

The role holder will be required to support the administration of the GB & CMB Global Procedures. Additionally, they will be responsible for providing support to the wider POMO team in the administration and management of procedure changes, managed through a change log tracking and prioritising aligned to POMO deliverables.
