    Group Operations Solution Delivery COO team located in Wroclaw delivers high quality information for Heads of departments and sub departments to efficiently help them to handle their area of responsibility.

    Through everyday activities we provide support for senior management in strategic decision-making - we deliver aggregated data / information and prepare useful documents / tools to help them manage their departments and mitigate risks.

    We ensure appropriate controls in the area of financial management, workforce management, vendor management and portfolio management are properly running and that day-to-day activities of the departments are aligned with the stated strategy.

    Our team operates in an international environment (London, Zurich and NY).

    This role will have the responsibility for overall management of the programme and projects financials and business management across portfolio.

    • Maintaining the portfolio view of budgets, actuals to date, forecasts and FY Estimate to Complete view across the portfolio
    • Being a deputy to Financials Lead
    • Conduct regular high level reviews on resource allocations and budgets across the portfolio with the Financials Lead
    • Workforce and capacity planning for the Portfolio Manager’s organization: active tracking of all FTE changes in terms of permanent and contingent staff and reflecting them in workforce plan/headcount tracker, control of FTE budget and tracking of all required efficiencies
    • Support workforce related initiatives the Portfolio Manager’s organization and coordinate required data collection
    • Providing support in Headcount and financial forecast preparation on a monthly basis from a cost accounting perspective
    • Organizational units structure maintenance and changes for the organization of the Portfolio Manager
    • Liaise with PMO team to ensure all financials reporting are in place at all times and with all Project Managers and Line Managers to validate the resource allocations within the project portfolio tool
    • Handle the vendor(s) purchase order processing
    • Liaise with Project Managers to compare the actuals vs. forecasts on a monthly basis and maintain data in the project portfolio tool accordingly to track the FY forecasts
    • Receiver of all the Invoices from vendors and act as a custodian for referencing them at any point in time in respective tools
    • Ensure all relevant re-classes and recharges are submitted within monthly deadlines
    • Collection all Travel and Expenses across the department
    • Liaising with Chief of Staff and the COO Financial Lead to gather all the financials / resource management update and prepare presentations or reports for any relevant governance forums

    • You hold a University degree
    • You have minimum 2/3 years of experience in accounting, finance
    • You have excellent communication skills both written and verbally in Polish and in English
    • You are self-confident – able to challenge in order to ensure that exceptions to agreed standards and policies are tracked and eliminated
    • You have good attention to detail. Completer / Finisher skills
    • Your analytical and critical thinking is on high level
    • You can work to tight deadlines on a range of tasks at any time
    • You have hands on attitude, displayed sense of ownership
    • You have high level of numerate competency, ability to understand and navigate through a complex organisational structure
    • You have an excellent social skills and can build positive relationships with both internal and external customers
    • You have Flexibility, perseverance and tact coupled with the ability to prioritize and multi task using own discernment when necessary, with discretion every time.
    • You have the motivation to work in a diverse international team
    • You have fast learning and service oriented personality
    • You are proficient in MS Excel and MS PowerPoint skills
    • You have a "Can-Do” attitude, positive approach towards challenges and incoming new requests
