The company is currently looking for the right candidates for the position of:

DOCUMENT CONTROLLER,
PROGRAM MANAGEMENT OFFICE

Work location: Warszawa

Overall Role

The Document Controller reports into the Quality and Best Practice Manager (based in the UK) and is responsible for ensuring all project data and respective documentation is fully up to date, managing the upload, tracking & completeness of data in our project application (PROJECT APPPROJECT) withadditional responsibilities for helping managing projects across EMEA.

Responsibilities:

  • Ensure compliance of all documentation with agreed standards and completeness of documentation for handover & close-out
  • Liaison with general contractors and subcontractors regarding their responsibilities
  • Manage upload, tracking & completeness of the PROJECT APPPROJECT app data and project documentation
  • Manage PROJECT APPPROJECT app project folders and data structures - liaise with JLL Program Managers to ensure compliance
  • Co-ordinate, track and complete project close-out activities
  • Co-ordinate and collate project specific Environment, Health and Safety documentation from all contractors
  • Ensure the recoding of handover of key project documentation to Facility Management team
  • Collation and tracking of both year to date program and project-specific Key Performance Indicator performance data
  • Own and manage database of all available Quality and Best Practice documentation (templates, examples, checklists, processes, guidance notes)

Requirements:

  • Experience of working in project or program document control function in a similar role and experience of project management
  • Experience of working in an international environment is also desirable
  • Technical qualification in construction or real estate desirable
  • Excellent co-ordination and organization skills, accuracy and attention to detail, to co-ordinate work across numerous client stakeholders, contractors and colleagues
  • Excellent inter-personal and English verbal / written communication skills to communicate clearly and develop strong relationships across a wide and challenging stakeholder community, including clients, colleagues, suppliers, subcontractors, and regulatory authorities
  • Strong analytical skills to achieve full transparency in close-out status, actions required and target due dates
  • Ability to manage multiple projects simultaneously
  • Excellent numerical and commercial acumen
  • Excellent PC skills, proficient in Microsoft Office tools, especially Excel and MS Project
  • Ability to work in a matrix organization with multiple stakeholders to manage across various geographies
  • Ability to work within strict deadlines while maintaining a professional demeanour
