EXECUTIVE ASSISTANT

As an Executive Assistant you will be responsible for providing administrative support to the Managing Director & coordination of all business activities between company management to deliver expected results. Executive Assistant will be responsible for conducting research, preparing reports, entering data into our system, running reports and handling information requests as well as managing translations Polish-English-Polish.
 

The role and responsibilities:

  • Acting as the point of contact among executives, employees, clients and other external partners,
  • Managing the information flow in a timely and accurate manner,
  • Managing executives’ calendars and set up meetings,
  • Make travel and accommodation arrangements,
  • Track daily expenses and prepare weekly, monthly or quarterly reports,
  • Act as an office manager by keeping up with office supply inventory,
  • Take minutes during meetings,
  • Make the translations and interpretations of documents and meetings,
  • Supporting internal communications ,
  • Collecting necessary information and based on that delivering presentations and reports,
  • Supporting the reports and analysis preparation at the scope of Sales and Operations.

Requirements:

  • MA/BA degree in technical profile - preferably with construction; alternatively Economy profile,
  • English – fluent verbally and in written, other languages would add value,
  • Very good, practical knowledge of MS Office – Power point, Excel and Word,
  • Experience in coordinating topics or project (can be collected during the studies or temporary work),
  • Understanding and openness for future development in at least two from the mentioned topics: finance, logistics, sales, maintenance,
  • Ability to manage a large, diverse workload and to know how to prioritize tasks in a fast-paced environment,
  • To be successful in this role, the person should be well-organized, have great time management skills and be able to act without guidance,
  • Proactive approach,
  • Problem solving skills,
  • Self – reliance,
  • Learning on the fly,
  • Goal oriented,
  • Nice to have: driving license (B).
